Working as an (HR & administrative supervisor) in one of the company's branches, with this tasks:
- Entering the monthly employees entries on AX system (permission, mission, annual, sick leave, etc.)
following the internal recruitment at the branch (sales representatives, drivers) & creating files for new employees.
- Follow up on everything related to medical & social insurance for employees
- Keeping the documents of licenses and commercial, industrial and tax registration and follow up the validity of these documents and government documents to regulate the operational conditions
-Dealing with government agencies, dealing with the labour office, neighborhood, insurance and police departments (generally local)
- Ensure that all administrative instructions are already followed, and sanctions are imposed on violators
-Follow-up of leave requests, appointment and dismissal decisions
-Supervising the control of safety in the building
- Responsible for clarifying the legal dimensions of any problem
-Supervising all administrative and personnel work in the company, from the processing of salaries or relationships with employees
-Supervising the renewal of health insurance for employees
- Check monthly employee statements, process salaries and raise them to the financial management after deducting deductions due to employees
-Applying the internal work regulations of the company, and applying the mandate regulations, sanctions and sanctions adopted
- Follow-up of the machinery company in the branch (camera, printing machine, etc.)
- Follow-up of the movement section in any external problems related to cars
- Follow up the IT section and networks in any of the needs of the branch
-Issuing purchasing requests from office equipment and tools and sending them to the procurement department
Follow-up of leases and contract renewal dates and reporting prior to the renewal and addition of annual contract ratios
The main tasks
- Providing administrative support to all departments and Provide support to resolve any problems faced by all departments and Coordination between them to work on solve administrative and operational problems daily in the main branch nd others branches.
- Managing the stock of Assets and Supplies and Assistance in all administrative Tasks, logistics, equipment and storage
- Daily supervision of (Cleaners, Security, Administrative Representative, Drivers and Store Keeper) Team to make sure that all admin services required are performed efficiently
- Coordination requests for cars to perform the tasks of all sections
- Monitor the consumption of cafeteria, maintenance and housekeeping supplies and maintain sufficient stocks in coordination with procurement parties.
- Supervise the admin work and the maintenance department.
-- To coordinate and manage office building ancillary support services, to coordinate with procurement unit on local purchases of stationery, equipment, supplies and other company business related purchases.
- Provide guidance and support to administration staff to perform their duties effectively.
- Ensure that the administration team follows company standards and guidelines for operational efficiency.
- Follow-up all our administrative proceedings with Governmental entities or others (Traffic Authority, Insurance Authority, owners of the other branches we rent, etc).
