• Provide stock, incoming & open order reports to Product Head for Order planning
• Prepare Purchase requisition on EPICOR, verify prices & follow-up for PO approval
• Send PO to suppliers and follow-up for Order execution
• Monitor Incoming shipment, inform sales team of ETA, arrange Custom clearance
• Check Supplier invoices and make claim if any discrepancy and follow-up claims
• Prepare the GRV for received shipment
• Prepare Sales orders/ Invoices in the Oracle ERP system (JD Edwards)
• Monitoring special discounts and getting necessary approvals as per LOA.
• Updating customer master in the Microsoft Dynamics CRM system
• Credit limit modification in COFANET system of Coface Credit insurance
• Monthly MIS reports on Salesman target v/s actual, Inventory, Product analysis
• Prepare the Presentations for Monthly team meeting
• Executive Assistant to General manager
• Managing the company Telephone Board and the Reception
• Office support- Quotations, BOQ, Test reports
• Correspondence with customers
• Providing Secretarial assistance to the Managing Director
• Assists the PRO in processing of employment visa for the hired applicants.
• Prepare docs for Visa stamping of new staff- Contract, medical, Labor card, EID
• Monitoring the expiration of passport, visa, labour card & EID of the employees
• Preparing the scope of work and job description to new joinees
• Attend to employee queries on salary, work problem, company rules etc
• Recruit employees by advertising job openings and or call applicants.
• Job Costing- Labor expenses, materials and overhead costs of the project
• Summarize weekly timesheets for payroll and disbursement
• Quarterly inventory reports of materials, tools & equipment on the site
• Petty cash disbursal, recording with supporting documents and summary claim
• Prepares Cheques & Vouchers for payment to supplier and other payables
