DUTIES AND RESPONSIBILITIES:
•Responsible for implementing the requirements of the company procedure, for ensuring that documents are properly received, reviewed, logged, routed, and filed, and for ensuring that the most current revision of controlled documents are available for use by Construction.
•Maintain filing system both paper and electronic for required documentation.
•Provide high-level of Administrative, secretarial and clerical support to the Project Planning Department.
•Keep documentation up to date (e.g. creating spreadsheets, databases, transferring, reviewing and editing documents).
•Compile & consolidate punch lists & provide auditable trail to ensure that all punch list items are recorded & signed off by authorized personnel upon completion.
•Co-ordination with Client, Engineering Contractors, Joint Venture Partners, Subcontractors & Project management Team and other Internal Departments for Documentation related issues.
•Produce reports as required by management & other parties from time to time. Ensure all project documents / drawings & correspondences are available in paper version & electronic version (scanned & native format).
•Preparing the Transmittal to submit the documents to client and subcontractors.
•Maintaining of log book for NCR, EON, ITP, Procedures & Plan and assist Project QC Departments.
•Responsible for organizing and conducting Archiving & disposal of project files as per contractual requirements & in-house procedures at the end of the project.
•Responsible for processing incoming and outgoing documents according to appropriate Document Management procedures.
•Ensuring all documents is processed in a timely manner.
•Prepares various reports and other reference data as source material.
•Perform secretarial and administrative work.
•File handling and organizing for easy accessibility.
•Computer operation including Data encoding and Filing.
•Preparing Materials Request.
•Strict adherence to the internal client provided documentation procedures.
•Performs any other clerical or miscellaneous duties as requested by the immediate superior.
•Maintain up to date records of all sections individually.
•Preparing tracking Sheets.
•Reviewing scope of work.
•Updating of daily progress report.
•Coordinate with Material supervisor in material related documents.
•Provide document control related activities for Project Planners.
•Arranging Materials according to Drawings.
