1. Recruitment
• Search CV’s from classified ads, internet websites
• Arrange interview schedules
• Coordinate with Manpower Agencies for selecting candidates.
• Prepare employment offers
• Follow up on visa status
• Follow up on joining dates
• Arrange accommodation for new joiners.
• Prepare cash advance for new joiners.
• Prepare the joining forms
• Encode employee details in the system
• Encode financial info in the system
• Request pay cards for new joiners - for accounts

2. Prepare payment vouchers (coordinate w/ divisions, accounts and immigration for below payments)
• New RP (request RESIDENCE PERMIT for new employees)
• RP renewals (renew the RESIDENCE PERMITS of all employees based on what month/expiry)
• New contracts (submit employee details to immigration for preparing their contracts)
• New visa (request visa for selected candidates)
• Business visa (depends on the approval/request of GGM)
• Visa transfers (prepare transfer of visa to employees who got new passports)
• Change sponsor ( for locally hired employees)

3. Immigration related correspondence
• Employment contract - chasing employees for contract signature
• New RP application - coordinate with division
• Immigration related correspondence
• email divisions for finger printing schedules
• email divisions medical schedules

4. Probation period - notify departments of end of probation period and ensure that the relative forms are signed and filed on time in case further action is not needed (termination)

5. Checking Settlements in coordination with the Payroll officer (C & B)

6. Assist the payroll officer during payroll
• encoding OT’s (based on the timekeeping submitted by the division)
• encoding absences (based on the weekly attendance sheet submitted by the timekeeper)
• Encoding trips and etc. (based on the calculated trips of the drivers from their respective divisions)

7. HR advance reconciliation (payments issued/requested every month to immigration department and or divisions)
- close pending HR advances every month with the accounts department.

8. Lateral transfers (internal transfers of employees between departments/divisions)
• Encoding changes in the system (salaries, department and position)
• chasing lateral transfers, signatures and proper documentation

9. Preparing letters /certificates (request of employees on daily basis)
• Salary certificates
• Employment certificates
• Bank transfers and etc.

10. Reports (monthly and weekly reports being coordinated with the HR Manager to be submitted to the GGM)
• RP renewal report (Renewing the employees residence visa to check discrepancies to avoid late issuance and penalties)
• Visa approval report (visa’s available for different nationalities to know how it will balance the recruitment process)
• Insurance report to be added and deleted (submitted every month to the insurance company for adding the new employees joined and resigned employees to be removed from the insurance)
• Salary transfers report (keep updates for employees who transfers their salaries to other bank in case they will resign we can track whether they have pending credits/loans from previous banks)
• Recruitment report (ensure the right flow of employment status of candidates)

11. Others
• Assist employees’ requests such as; copy of RP’s, passports and other related employee papers.
• Assist departments for Gate Passes (collect documents /requirements in preparing gate pass to be forwarded to IT dept.
• Update employee’s residences in the system (once an employee got their residence ID’s - update issue date and expiry date)
• Attain department requests (such as list of employees, updates and etc.)
• Filing.
