1. Travel Coordinator
Booking and issuing of tickets for employees’ vacations or business trips.
Data entry and maintenance of issued tickets records in ERP.
Invoice checking to prevent double entry in payments.
Travel planning to prevent the cost’s impact to the company
Hotel booking for business trips, local or international depending on availability.
Car rental booking for local trips.
Coordinator between the travel agencies and the company
2. Medical Insurance Coordinator Support
All jobs done by the Medical Insurance Coordinator as per below, but only when he/she is not available.
• Addition of new members in BUPA as per the company policy and employee’s contract (Employee and Dependents)
• Upgrading Medical Insurance membership as per the company policy or employee’s request (Deduction is done depending on the employee’s contract)
• Deletion of members in BUPA (Resigned, Transfers, etc.)
• Submission of Pre-Authorization requests depending on the treatment needed
• Submission of claim forms (invoices paid by the employee due to emergency cases)
• Updating of employees medical insurance record in CCHI
• Updating of employees medical insurance record in ERP
3. HR Coordinator Support
All jobs done by the HR Coordinator as per below, but only when he/she is not available.
• Employee record maintenance
• Collecting of employees’ resident permits (Iqama) as requested by GR department for renewal
• Collecting of employees’ passport for renewal as per the employee’s request from GR department
• Consultation for any employees’ concern with regards to company policy such as but not limited to Salary, medical insurance, vacations
• Coordination with GR department for government related matters such as but not limited to Exit-Reentry Visa, Exit Visa, Lost Iqama
• Coordination with the MIC and TC with regards to insurance and vacations respectively
4. Government Relations Support
Data Entry of expenses in ERP
Creating invitation letters for Company’s guests (As per request)
Assistance to GR department in matters related to Muqeem (e.g. Iqama renewal, Issuing exit re-entry or exit visa) when he/she is not available
