Receive a complete briefing and an accurate Data Collection Sheet from Business Development
Executive, as an assigned Coordinator to the project
• Coordinates with Installation and Resource Planner concerning assigned Project Manager and
scoping
• Receives Scoping Report from designated Project Manager
• Based on received data, prepares a quotation, as per current rate card and approval of the CIC
Director, in a timely matter and submits it to Business Development
• Received approved LPO for the job from BD and Coordinates approved artwork between the
Client and Production Team to adjust and fit the applicable dimensions
• Fully briefs the PM on what needs to be done on-site as per the scope
• Liaise with internal Q22 functions and external stakeholders, to deliver a safe, sustainable, cost
effective and operationally viable venue logistics solution
• Build strong relationships with internal Q22 functions and external stakeholders in order to
capture and assess requirements, develop efficient plans and processes for the receipt, storage,
distribution, re-supply and dissolution of their goods
• Develop and manage delivery schedules for bump-in, re-supply, and bump-out of your venue
whilst identifying cost effective measures of utilizing staff and equipment
• In collaboration with Venue Management, Overlay Technical services, help design logistics
compounds and venue storage facilities to enable a safe, efficient flow of goods within the
venues
• Support with the recruitment of Deputy Site logistics coordinator’s role and the design of on
venue logistics training
• Provide leadership, training and management to your venue logistics team including overseeing
health and well-being, effective motivation, coordinating work assignments, and evaluating
performance
• Maintain strong communication across teams providing content to all stakeholders on the venue
logistics operating plans, departmental policies/procedures, delivery guides and access
requirements
• Maintain plans to fulfil Qatar 2022 FIFA FWC sustainability commitment of minimizing waste and
maximizing revenue through the effective post-event dissolution of assets
• Manage information flow to all Functions with regards to Venue Logistics operations and Security
protocols relating to the delivery of materials to venues

Project: Al Shaheen Field Maintenance and Construction Services, Qatar

Arrange client manpower requirements for all locations (Al Shaheen)
• Work closely to the Project Planner of the Client in preparation for the next offshore execution
schedule in checking shut-down and non-shutdown jobs.
• Ensure all crew must have valid offshore passes, required trainings and offshore medical prior to
mobilization.
• Ensure that crew must have completed PPE prior to mobilization.
• See to it that chopper bookings of crew are in line with the agreed/approved schedule of
mobilization, if cancellation/crew swapping requires, need to coordinate with Aviation and NOC
Location Platform In-charge.
• See to it that crew must be notified about the mobilization date, Heliport check-in timing, and
pick-up timing from their respective camp to Heliport.
• Arrange to request transport to pick-up crew at the heliport who is/are coming from Offshore
(after demobilization), during mobilization (from Accommodation to Heliport), and after rotation
vacation (from Airport to Accommodation).
• Arrange travel flight ticket for all rotation crew based on scheduled rotation vacation.
• Prepare monthly timesheets and take approval from client.
• Update POB from time to time for any Mobilization / demobilization.
• In communication with the client if ever there is changes with mobilization plan, replacement of
crew, etc.
• Prepares timesheets for all crew Offshore and Onshore within the contract
• Received Work Orders from the Client (NOC) and process accordingly up to invoicing
• Overall coordination with NOC’s representative for the projects
• Coordinating with the NOC Medical Team for the medical issues and to obtain health certificates
• Closely coordinating with the Material Coordinators each location to ensure all requirements of
the crew has been attended
• Relevant experience in applying passes through MOI (QP/Ras Laffan Area).
• Coordinating and arranging full safety trainings for all onshore/offshore staff.
• Knowledgeable in Safety Proper Gear for Engineering (Oil & Gas, Construction) requirement.
• Arrange weekly meeting of the team - and make sure the team are all ready and available for the
meeting with the clients
• Comply all requirements for COVID related documents for our team to successfully on board to
chopper
• Responsible in keeping and producing comprehensive daily, weekly and monthly status using
system generated progress report align with planning performance and highlight the issues related
to documentation for the projects job card close-out and status update.
• Prepares packages need to ship to all Al Shaheen different location and closely coordinates with
the material coordinators. Maintain all documents file to update tracking records for all issued
items.
• Prepare ad-hoc reports on projects as needed.
