Responsibilities:
- Preparing all export documents
• Commercial Invoice, Packing List, Insurance, Certificate of Analysis, Certificate of Origin, Material Safety Data Sheet.
- Responsible for exporting to
• Yemen, Senegal, Turkey, Morocco, Egypt, Sudan, Algeria, Somalia, Marine customer.
- Arrange shipping/loading and negotiating with the forwarder about freight costs
• Negotiating freight cost with multiple forwarders according to the country of export in order to find the best possible rate for exporting.
• Requesting containers to be loaded from the plant (Jeddah, Riyadh, and Khumrah).
• Collecting the Bill of Lading and the Bayan Jumruki after the containers are exported out of Saudi Arabia.
- Monitor customer accounts
• Follow up on customer payments depending on the payment terms (LC, CAD, CIA).
• Close outstanding amounts quarterly by contacting the customers and ensuring that they transfer what needs to be transfers in order to close their outstanding amount each quarter.
- Dealing with government sectors
• Ministry of Petroleum
o Managing the Ministry of Petroleum Export Quota.
o Monitor Petromin’s export volume and date of expiry of the export quota per brand.
o Contact/meet with the Ministry of Petroleum for follow up on date of export quota and allowed export quantity per brand.
o Contacting the Ministry of Petroleum to request to add additional trademarks to Petromin’s quota in order to export on behalf of other companies, such as (Challenger, National, Crown) which are produced in UAE by our sister company (Technolube) out of KSA.
• Saudi Customs
o Contacting Saudi Customs to enter and update the export quota given by the Ministry of Petroleum in their system and share the new export quota throughout all KSA borders and ports.
o Visit ports and borders across KSA to meet with government officials to deal with issues when they occur.
• NCPP (National Companies Promotion Program)
o Raising any issue that we have with any government sector with the NCPP being that they are the link between the Saudi companies and the government sectors.
o Following up with the NCPP to ensure that our issues have been resolved.
• Saudi Exports
o Upload the issue that we are facing either in the export process or the procedures on the website of Saudi Exports.
o Responding to the assigned employee with any additional questions that they might have in order for them to address our issue properly.
o Follow up with the assigned employee to ensure that our problem has been dealt with.
- Dealing with EC 21 Website
o Respond to online customers who have questions or need additional information regarding Petromin’s products.
o Once a customer in interested in Petromin’s products, we provide them with a quotation and wait for them to transfer the amount to our account, then depending on their country we will either export to them from KSA or UAE, depending on the distance to their country.
- Coordinate with planning and production
• Processing customer orders within the set quality level.
• Following up with the Production team to ensure efficient delivery.
