Managing day-to-day operations of Human Resources Department and acting as a point of contact for all the employees. Managing whole human resources functions and some of the major responsibilities are payroll administration, recruitment activities, induction &orientation programmes, employee relations, employee benefits & compensation.
Reporting to General Manager
•Managing the entire operations of Monthly payroll (more than 250 full time employees + part time and temporary employees)
•Monitored payroll database reflects current and accurate information; verifies and inputs pay and data changes.
•Facilitated preparation of salary statements.
•Tracked time and attendance Management.
•Coordinating with recruitment agencies on international hiring.
•Processing job offers and employment contracts.
•Providing general induction to newly hired employees.
•Creation and maintenance of personnel files upon the joining of a new employee both in digital and physical filing system.
• Document management (digital and physical filing) and ensures security of the files.
•Administered disciplinary procedures and disciplinary actions whenever necessary
•Conducting annual performance appraisals.
•Responsible for employees’ leave settlements and reservation of air tickets for those entitled employees.
•Created and implemented the exit and interview program proces.

Payroll:

Employee Benefits:
•Responsible for preparing leave settlement, leave encashment and booking air ticket for entitled employees.

•Updating and Maintaining employee benefits, employment status, and similar records.
Recruitment:
•Maintained optimal staffing levels by tracking vacancies.
•Preparing job descriptions, advertising vacant positions, and managing employment process.
•Coordinating recruitment process by posting job ads and sourcing resumes and job applications.
•Scheduling job interviews, assisting in interview process and rollingout offer letters.
HR Services:
•Maintaining records related to grievances and disciplinary actions.
•Prepares Indemnity and Leave closing balance of employees by end of each month.

Administrative:
•Preparing reports regarding terminations, transfers, and new hires.

•Oversees human resources database and ensures that system records are up to date, accurately recorded and cross checked.
HR Services:
•Maintain both hard and digital copies of employees records up-to-date.
•Update HR system with accurate data as required to ensure all HR records remain up-to- date.
•Track attendance of all staff on daily basis in HR System as per organization requirement and responsible to review monthly attendance of each employee.
•Track Probation reviews with timelines and ensure outcomes are communicated formally through letters.
Government Affairs:
• Ensure that contract, passport, civil id and medical renewals are done in a timely manner.
Employee Relation:
• Track leave database, eligibility, availed and closing balances of leaves for employees in excel format and in HR system.
• Conduct exit interviews in specified formats and share with General Manager on monthly basis.
• Follow up for clearance certificate and ensure final settlement is done within standard agreed timeline.
Payroll Administration:
• Managed payroll, transactions, invoicing and budgeting to decrease financial inconsistencies.
• Maintaining payroll inputs such as attendance summary, leave summary, other deductions to Finance by employee wise in specified format for processing payroll.
Office Management:
• Improved office efficiency by effectively managing internal communications and correspondence.
• Improved organizational filing systems for confidential employee records, resulting in improved accessibility and efficiency.
To perform all Office Administration tasks and to maintain excellent coordination between employees, Managers and other Departments.
• Performs administrative duties, which include compiling reports, maintain master files up to date, and assisting other staff in Production of their queries and requests pertaining to vacations, settlement, start duty, ECS and other related documents.
• Preparing KPIs for all production staffs.
• Responsible also for outgoing mail, shipping and receiving of invoices and maintains mailing or contacts lists, sends internal/external memos and reminders to concerned departments or divisions.
• Managed over 50 calls per day .
• Report, collect and submit issues or any necessary document pertaining to Medical and Civil ID to AGA Department and monitor and keep records up to date for Medical and Civil id of all Production staffs.
• Preparing leave requests and coordinating with Personnel Department for settlement. Duty resumption documents also has to be prepared and entered on Mena HR system.
• Coordinating between Production Department and HR.
• Responsible for making incentive sheet for all production staffs and managers on basis of their performance and monthly attendance.
• Oversaw office inventory and timely reordering of supplies.
• Oversaw day-to-day office operations, including receiving and organizing correspondence, answering and forwarding calls and creating business letters and records.
• Supported Production Manager and General Manager-Production with smooth and efficient clerical support
