Key Responsibilities:
- Leading a team of Four personnel for handling the following jobs:
Carrying out functional work of Coordination and follow up in regard to communication to operating Committee (OC), Management Committee (MC) including Operating Committee Resolutions (OCR) for approval of various orders before award with joint ventures Partners and Govt. Authorities concerned
-Coordination with various Departments / sites for day to day functions of office
-Induction for new joinees
-Facility Management for the floor containing 100 people
-Arranging Senior Management travel itineraries and domestic & international accommodation
-Monitoring inventory of Office Supplies and the purchasing of new material with attention to budgetary constraints
-Monitoring costs and expenses to assist in budget preparation and cost optimization
-Oversee facilities services, maintenance activities through Utility staff
-Ensure operations adhering to policies and regulations
-Keep abreast with all organizational changes and business developments
-Ensure the smooth and adequate flow of information within the company to facilitate other business operations
-Manage schedules and deadlines
-Checking of received Purchase Requisition (PRs) (in SAP) and forwarding to Concerned Buyers
-Receipt of Bid Bonds, Performance Bank Guarantee (PBG), returning Bid Bonds / PBGs to the respective Vendors, if Purchase Order/ Work Order is awarded/completed.
-MIS Preparation (weekly)
-ESS & SAP operation including release after approval
Secretarial functions
Key Responsibilities :
-Managing day to day administration of the Personnel Department including Preparation of Manpower update of 3000 employees & Control of Employees’ Movement in co-ordination with various Project Managers of the Company located at different regions of the Kingdom of Saudi Arabia
-Handling ‘Exit-Re-entry’ Visa procedure and follow-up.
-Personnel Administration
-Liaising with recruiting agencies to address human resource requirement issues.
-Advising the Payroll Department on salary disbursements & Leave Settlement of employees.
-Managing the Leave Schedule of employees & arranging replacements.
Customer Support
-Providing first line customer support by answering queries & resolving their issues.
-Dealing with telephonic queries & providing assistance.
Secretarial Operations
-Joined as Steno in 1981 reporting to Personnel Manager. While working joined morning college and passed HSC from Sidharth College of Commerce, Fort, Mumbai and passed graduation in BA from Mumbai University. Upon graduation Company has promoted as Executive Secretary to The Chairman.
-Providing administrative & secretarial support handling of top & confidential correspondence, management of document flow, screening telephone calls, attending visitors & directing various queries to relevant department.
