• Provide administrative support to the Managing Director and Line Managers
• Act as liaison between management, executives, suppliers and high end clients
• Prepare agenda and minutes of the meeting
• Arrange flight and hotel bookings
• Prepare office reports for upper management
• Perform Accounting duties like analyze mark ups & profit margins, handle petty cash and payments of clients
• Perform HR duties like process renewal of Trade License and visa of employees
• Process Dubai Municipality Product Registration
• Arrange import & export shipments
• Create Invoices, Purchase Orders & Delivery Notes using Inflow System
• Supervise warehouse staff to ensure accuracy of Inventories and deliveries of orders
• Screen all phone calls, answer daily correspondence and overall all administrative support to management
• Act as centre of communication between management, departments heads and staff
• Schedule meetings, prepare agenda and minutes of the meeting
• Manage confidential information data base
• Organize office supplies, arrange flight and hotel bookings
• Prepare Daily Remittance report / Cash Disbursement reports
• Deposit cheques & cash collections daily
• Ensure safety of cash assets and other assets of the company
• Update Account Receivable cards as per clients payment on monthly amortization
• Manage & replenish petty cash fund
• Monitor cash advance settlements
• Collate reports and transmit them to Head Office
• Attend phone calls and correspond to daily emails
• Monitor office supplies
