Maintaining documents to its latest revision.
Supersedes the previous revision once latest revision is issued.
Uploading documents such as Shop Drawings, Material Submittals, Letters, NCR, Daily Progress Reports and etc., through Aconex and filing it accordingly to its disciplines.
Coordinating with engineers and co-related personnel with regards with the submitted documents.
Communicate with the Senior DC of the Consultant with regards with the document submissions.
Supersedes and uploads documents through Aconex.
Registering all incoming and outgoing correspondences, Moms, Drawings & technical submittals such as MAR, MES, Pre-Qualification, etc.
Maintaining a register of all incoming and outgoing mail, stamping and recording before circulating for distribution.
Responsible for Control/Track/Issue of complete project document such as incoming and outgoing correspondences, site instructions, change orders, RFI, Letters, DPR, MPR, WPR, submittals and other forms of pertinent documents from the client and contractors.
Responsible for receiving, logging and distributing all technical documents and assisting in coordination and monitoring of administrative activities to facilitate and expedite the work flow.
Maintainingall files within the Filling Department. Other duties as requested from time to time.
Document classification, sorting, filing, archiving and retrieval of document/files in accordance to project document indexing and filing system. Ensures proper safekeeping of documents and good quality of work output.
Receives all the Inspection Request (IRE) from sites.
Log and process all incoming & outgoing IRE’s
In-charge of the distribution of IRE’s to Engineers .
Maintain updated records of all documents used by the Supervision Engineers.
Coordinating with the Client Engineers and Document Controllers regarding the documentation issues and requirements as per Project Protocol
Preparing monthly reports for Project Protocol.
Directly reporting to the Project Supervision Manager.
Assisting the General Manager with regards to his Business Appointments, Calendar of activities, travelling abroad and meetings.
Email correspondences related to advertising inquiries.
Answering phone calls with respect to GM side.
Booking and confirming tickets for GM.
Preparing LPO’s and quotation for the advertising campaign with regards of the preference of our clients.
Extensive software skills are required, as well as Internet research abilities and strong communication skills.
Assisting the General Manager with regards of his Business Appointments, Calendar of activities, travelling abroad and meetings.
Coordinating with other Engineers with respect of generating daily and weekly reports as per the GM.
Monitoring all the files and keeping them updated.
Answering phone calls with respect to GM side.
Booking and confirming tickets for GM.
Extensive software skills are required, as well as Internet research abilities and strong communication skills.
Updating the DMS system for all the files.
Tracking sales orders to ensure that they are scheduled and sent out on time
Sales order handling and invoicing in ERP system.
Establishment of price lists to ERP
Customer documentation related to sales orders
Work closely with the Sales Team and monitor the team’s results utilizing ERP System.
Support the Sales Group. This consists of sales order management within our ERP System and to make sure the manufacturing department is aware of critical customer required sip dates.
Receiving (inbound) customer Sales inquiries and providing or supporting with quotation. Product/Service information, support and pricing details in response to internal enquiries.
Support the external customers when the direct sales person is traveling or on vacation.
Enter and setup inventory items for each customer.
Process sales orders, credit/debit memos.
Monitor deadlines and provide appropriates notifications of pending deliverables.
Must liaise between other department and the client to provide the service most suitable to the clients need, cost and time restraints.
Must also be able to work closely with the Sales team to assess the progress of the department.
Receive, direct and relay telephone & fax messages and conference telephone calls
Pick up and deliver the mail
Open and date stamp all general correspondence
Record and handle all incoming and outgoing couriers
Welcome visitors and guests and direct appropriately
Arranging maintenance visits and logging the duration thereof
Maintain the general filing system and file all correspondence
Assist in the planning and preparation of meetings & conferences
