• Process, organize, structure and present Risk data/information so as to make it useful for upload to Enterprise Governance, Risk & Compliance System (EGRC)
• Maintain Risk Library in EGRC
• Maintain and organize core processes /Objectives from Quality team for upload in to EGRC
• Update Risk Assessment Plan
• Prepare periodic reports from EGRC System for Users
• Responsible for entering compliance related information in EGRC System
• Receive calls form Users with respect to bugs in EGRC and maintain a log
• Support Risk workshops acting as a scribe
• Maintain Risk, Compliance & BCM procedures in Livelink
• Follow up of SM9 Calls on EGRC and provide feedback to the Issue initiators on a timely basis
• Maintain and organize supervisor’s diary and schedules for meetings/appointments/ contacts, prioritize his tasks and render assistance to ensure effective time management.
• To take dictation, draft correspondences from brief notes or verbal instructions, proof read all documents and dispatch to the concerned.
• Process incoming and outgoing mail, includes sorting, date stamping and attaching references, send/ receive telex, e-mail or facsimile messages, read incoming documentation to determine priority for SVP’s review.
• Maintain computerized track of all incoming and outgoing correspondences, monitor and follow up with concerned employees on the progress of activities to provide up-to-date status.
• Arrange meetings and appointments for the SVP, receive visitors, enquire reason of visit for screening before directing to SVP’s office.
• Coordinate for the arrangement of SVP’s travel abroad related matters. To coordinate with Shareholder Companies and their representative offices in Abu Dhabi and abroad on administrative/ operational/ project issues, as applicable as well as to arrange the Shareholders’ Visas, accommodation, flights and transportation during BAC & BOARD meetings.
• Receive and answer telephone calls, take down / relay messages, and answer routine queries.
• Apply computer programs to prepare slides for management presentations and workshops.
• Contribute in the preparation of BAC & BOARD reports, and in the preparation, compilation and development of GASCO shareholders’ reports, management reports and Group weekly/monthly reports.
• Ensure arrangement of conference room and refreshments for meetings and workshops.
• Maintain confidential and general files, and keep required office stationery and supplies.
• To enter vouchers of 50 Branches in tally.
• Distribution of Salary & Rent for 50 branches.
• To enter Salary & Rent payment entries of branches in Tally.
• To transfer funds to other branches, and enter them in a pradnya software.
• To maintain fixed assets register of Coimbatore region.
• To Maintain ESI register of Coimbatore Region.
• To prepare schedules for all expenses for Coimbatore region.
