• Prepares petty cash vouchers and Local Purchase order
• Compile and sort invoices
• Receives payment by cash, check or vouchers from the client
• Prepares the daily sales invoice
• Contact companies with delinquent accounts
• Provide front desk customers service
• Input type vouchers, invoices and other records
• Perform clerical functions to support supervisors and accounting personnel
• Encodes all the reports from the Engineers
• Maintains hard and soft copies from Engineer’s report
• Handles phone calls / inquiries from clients
• Responsible for compiling, scanning the report and converting it to PDF for book binding
• Performs other clerical functions to support supervisor and Engineers
• Prepares weekly report for the finished and unfinished projects
• Generate and send out monthly statement of account
• Receives payment from the customer
• Monitor customer account for nonpayment and delayed payment
• Updates receivables by totaling unpaid invoices
• Follow up unpaid invoices
• Perform filing and general administrative tasks
• Maintain files and records so they remain updated
• Sort and distribute incoming mail and prepare outgoing mail
(envelopes, packages, etc.)
• Prepares Quotations
• Answer the phone to take messages or redirect calls to appropriate colleagues
• Monitor stocks of office supplies (paper clips, stationery, etc) and report when there are shortages
• Perform other office duties as assigned
