Managing Hard Services:
Oversee physical infrastructure (HVAC, electrical, plumbing, fire safety) and ensure ongoing maintenance, repairs, and system upgrades to minimize downtime and ensure safety compliance.
Managing Soft Services:
Supervise non-technical services such as cleaning, security, catering, landscaping, and waste management.
Ensure service providers meet established service levels, safety standards, and company policies.
SAP System Support:
Create and process Purchase Requisitions and Goods Receipts in SAP to facilitate procurement and inventory management.
Ensure accurate records of facility-related transactions to maintain transparency.
Budget and Cost Management:
Assist in the development and management of the facility budget, ensuring cost-effective operations.
Monitor expenditures for both hard and soft services, identifying cost-saving opportunities.
Vendor Management:
Coordinate with vendors for maintenance and other services, ensuring high performance and compliance with service agreements.
Negotiate contracts for optimal terms and service delivery.
Health & Safety Compliance:
Ensure facility operations meet health, safety, and regulatory requirements.
Conduct inspections and audits to address any potential hazards.
Space and Facility Planning:
Coordinate office space planning and ensure efficient utilization of workspaces.
Oversee office moves, reconfigurations, and renovations based on organizational needs.
Emergency Response & Contingency Planning:
Develop emergency response plans for various scenarios and ensure staff are trained in these protocols.
Continuous Improvement:
Identify opportunities for operational efficiencies and implement best practices to improve service delivery and facility operations.
Communication & Reporting:
Serve as the main point of contact for facility-related issues and provide regular updates to senior management.
