As a HR Officer at AND Trading Company I’m directly reporting to the General Manager.
Scope of the Job
- Working closely with various departments, increasingly in a consultancy role, assisting line managers to understand and implement policies and procedures
- Recruiting staff - this includes developing job descriptions and specifications, preparing job adverts, checking application forms, shortlisting, interviewing, selecting candidates and documentation
- Developing and implementing policies on issues like working conditions, performance management, equal opportunities, disciplinary procedures and absence management
- Advising on pay and other remuneration issues, including promotion and benefits and develop new Performance Appraisal System within the company.
- Undertaking regular salary reviews
- Negotiating with staff and their representatives (for example, trade union officials) on issues relating to pay and conditions
- Maintaining employee past and current records
- Interpreting and advising on employment law
- Dealing with grievances and implementing disciplinary procedures
- Developing HR planning strategies which consider immediate and long-term staff requirements
- Planning, and sometimes delivering, training - including inductions for new staff
- Analyzing training needs in conjunction with departmental managers
- Responsible in processing due papers for staff employment.
- Preparing & issuing letters of appointments to new comers, preparing their personal files and documentation.
- Notify Contract renewals to particular department heads and issuing contract renewal letters.
- Sending pre confirmation reports and progress reports to department heads. Issuing confirmation letters, probation extended letters.
- Notify resignation to certain department, issuing check list, Service Letters and EPF, ETF documentation.
- Salary confirmation letters & other letters issuing to staff on request.
- Play a coordination role with payroll department by informing salary related input of group staff.
- Supporting to the manager in charge of training for managing internal training programmes.
- Preparation of Training Need Identification reports.
- Drafted advertisements for online and internal advertising according to the respective Job Description and accurate uploading to the web site.
- Initial applicant short-listing and forward to respective supervisors
- Scheduled interviews including calling candidates, prepare interview schedules and informing interviewers.
- Issuing offer letter and do documentation for new recruits
- Register finger prints of new recruits to the attendance system
- Organized Employee Orientation programme
- Update every organizational structure and reconcile with each months headcount.
