Duties
• Create, implement and maintain document control procedures and filing system for all letters, Technical Proposal, memorandums, and entire office documents as well as construction drawings as per area wise/project wise basis
• Receive all incoming facsimile including Tender Circulars, Technical Clarifications, and Invitation to bid and keep records of these files in hard and soft copy with reference list on the computer for convenient accessibility and traceability of the files/documents whenever required so.
• Distribute and retrieves documents to/from all concerned departments, company staffs and different contractors.
• Receive, register and distribute all engineering drawings as Infrastructure drawings in hard and soft copy to all concerned parties.
• Maintain the document register with information received from clients & different contractors, inter-office memorandums, and letters for approval with or without comments.
• Send large documents using FTP.
• Periodically update the entire document register in project wise basis.
• Keep records of all existing documents on CD.
• Regularly check client website, newspaper if there is Tender to be possibly purchased and taken by the company.
• Perform Technical Assistance tasks whenever required so during tender evaluation.
• Review the Record Sheet for House Connection, drawing profile, Hydraulic and report to the Project Manager about the status.
• Provide full administrative supports to managers, accounting/finance controller and direct all reports.
• Perform as office Time Keeper.
• Ensure employees to fill and sign Application for Leave every time employees need to absent.
• Monitor guests visit and send Hotel Invoices to the head office.
• Sending and receiving DHL documents.
• Perform all office administration assisting works as safekeeping of petty cash, preparing letters, requisitioning of office supplies, Hotel/Flight booking, computer encoding, typing, CV formatting, printing, photocopying, scanning, sorting of construction drawings, reply emails, making telephone calls, and sending facsimile.
