I created and developed an electronic filing and archive system for the management of technical documentations. Receiving and registering documents, submittals, incoming letters from main contractor / client. Managing the distribution of the documents to Project Manager and respective engineers for information and appropriate action in a timely and accurate manner. Generates various document control reports as required. Maintaining organize file logs including incoming and outgoing transmittals. Keeping track of all logs including Request for Information (RFI) and Non-Conformance Report (NCR) logs and its closed out. Handles the following documents and among others:
1. Shop Drawing Approval / As Built Drawings
2. Method Statement along with Risk Assessment, Site Inspection Request, Test Reports
3. Material Submittals and Samples
4. Material Inspection Request
5. Pre-Qualifications
6. Design Calculation
7. Schedules, Daily Report
8. Document Approval, Transmittals, Payment Application, Monthly Progress Report
9. Letter and Correspondence, Variations
10. Invoice
Maintainng tracking database of - controlled - documents. Updating data bases with current documents / data maintaining various individual hard and soft copy record. Checking the work of other document controller to contractor / client for making sure the consistency plus conformance with company standards, policies and practices. Assisting the Project Manager with project-related documents. Interfacing with staff, contractor and client to make sure timely delivery of scheduled deliverables. Meeting deadlines prescribed by staff, contractor and clients delivery requirements.
AND RESPONSIBILITIES:
Maintain the information in the office’s records management system
Register incoming and outgoing records in electronic record keeping system
Sort records and documents in accordance with classification standards and instructions
Maintain paper-based and electronic central file system by creating new folders, applying
disposition instructions and tracking file circulation
Assemble records and create electronic file lists in preparation for records transfer and arrange for
their transportation from offices and non-current storage
Organize and maintain the filling system
Find and supply required files to staff members as per request
Complete other responsibilities as per Manager’s requirements
Receives telephone calls in a professional manner related to company issues and transfer to
appropriate personnel
Typing official letters, faxes, memos, emails, scanning of paper-based documents for inclusion in
electronic format in the system
Arranges and coordinates meetings
Replenishes stationery

AND RESPONSIBILITIES:
Enhances product of company credibility, creates a positive attitude about the product or
company
Ensures the cleanliness, orderliness of the product display area and responsible in the daily
stock with that of meeting customer demand
In charge of the promotional display to produce sales increases and offering customers with
sales promotion materials
Attending to all customer needs and demand, explains fully the special features of the
products
Issuance of invoices, cash memos, vouchers, etc
Attending telephone enquiries for some various matters
Offers customers a wide variety of services, such as gift -wrapping, return privileges, etc.
