• Responsible in making Invoices, Order confirmations, and any other sales documents and shipping documents of the clients.
• Responsible in making Sales quotations and update status for follow-ups.
• Responsible for all the Memorandums and LPO’s.
• Responsible in arranging Exhibitions, the process of registrations, reservations, etc.
• Responsible for the Pre- Qualifications documents required for suppliers.
( Oil & Gas Companies, etc.)
• Check the order status regularly (monitoring the deadline of the shipment of all orders.)
• Handles petty cash. ( Responsible in preparing total expenses for Dubai Branch)
• Handles the company’s cash flow - and responsible in the company’s bank account as the legal signatory.
• Ensure that the company has a budget for all the expenses.
• Responsible for all past due invoices follow ups and collections.
• Responsible on the computation of the branch expenses and send to head office in Germany all the needed reports.
• Have an update with marketing strategies & make sure that they are implemented.
• Monitoring the target sales of the sales engineers and updating them about their targets each month.
• Handles all shipment (Import & Export).
• Communicate/ correspond with our head office in Germany for all consignment of customers order.
• Attends trainings & seminars in the Head Quarters in Germany for the any implementation of new system.
• Inform clients about the status of their order.
• Attend to clients inquiries over the phone and e-mail.
• Ensure customer satisfaction with our products and services at all times.
• Maintain standardized agreements as per requirements and type of agreements.
• Maintain/update customer lists on a regular basis.
• Responsible in Logistics ( sending documents/Parcel through TNT/DHL and
other couriers, clearance of airfreight cargo to the custom.)
• Handles all office correspondence (outgoing & incoming) including all confidential documents.
• Notify clients for all the open payments.( Responsible for all payment collections)
• Assist the General Manager/ Area Sales Manager, Sales Managers in scheduling clients visit.
• Handles all hotel Reservations and Ticketing.
• Responsible in assuring all contracts for the office and car rental lease are up to date.
• Responsible in making monthly/Annual Sales report, Turn over, Monthly Target etc.
• Responsible in scheduling monthly meeting and coordinates with the General Manager regarding the minutes of meeting
• Provides all the Sales Reports needed for the monthly meeting.
• Responsible in purchasing/ maintaining the office supplies.
• Performs other duties that are necessary for the company’s operation like doing the applicant screening.
