- Preparation of FOLs & supporting documents and security documents coordinating with Business Teams, Risk, Legal, Sharia etc. for required clarifications etc;
- Checking FOL contents thoroughly to ensure that the same is in line with approval terms while taking into account the legal/sharia aspects as well as salient features of the related corporate products such as Commodity Murabaha, standard Murabaha, Standard Ijarah, Forward Ijarah/Istisna’a, Mudaraba etc.
- Preparation of other security documents ensuring that the filled out details are in line with the approval terms and that the repayment schedules etc. reflect compliance to the sanction terms;
- Overseeing the vetting set of required documents for each transaction before processing with limit feeding ensuring correct signing sequence (wherever applicable), perfection of securities (such as mortgages, liens, assignments, CGs, PGs etc.);
- Up-keeping a register of all incoming original documents citing all necessary details and remarks;
- Ensure compliance to Risk’s various approved policies;
- Special assignments by Head of the Division such as letters drafting, translation, coordinating with Legal Division in relation to requirements by Credit Administration Division.
Litigation Support:
a) Retail Civil & Criminal Cases Initiation
b) Prepare and upkeep registration forms for Legal Fees Expense Requests.
c) Upkeep of Litigation Program.
d) Relevant communication with other Bank's Divisions/units.
e) Preparation of different types of litigation reports.
f) Preparation of dockets for requested legal actions to external lawyers.
g) Follow-up and correspond with external lawyers.
Upkeep Legal Division Safe-Keeping
Intellectual Property: registration requests & follow-ups, correspondence with External Lawyer, and coordination with requesting units, relevant ERF, relevant registers upkeep
Powers of Attorney: preparation of powers of attorney, liaising with requesting division for relevant documents, following-up on requested attestations.
Special translation assignments: translation from English to Arabic and vice versa of Legal documents/ official correspondence/ letters/ power of attorney….ect.
Corporate Secretariat:
i. Preparation for Board of Directors Meetings agendas, minutes and resolutions
ii. Keep Board of Directors Secretarial files: Master Board & GM Minutes Files, Individual Board & GM Meetings Files; General & Sundry Board & GM Issues Files
Personnel Issues: Attendance Reports; Leaves; Training (internal & external)….
Administration: General Administration upkeep; special assignments by the Division Head
i. Preparation for monthly staff meeting & minutes taking
ii. Preparation of Arabic letters
iii. Preparation of English Letter & Memos
iv. Preparation of relevant presentations (Powerpoint)
v. Special assignment from Head of the Dept.
Typing Letters, self-correspondence (English & Arabic), translating and preparing lists, preparing Requirements and Local Purchase Orders, preparing analysis sheets, Coordinating with suppliers, Data capturing, filling and other secretarial duties.
