• Manages up to 100 client contracts by maintaining a master spreadsheet to keep track of the services to be rendered and the expiration dates for the preparation of renewals.
• Generates reports through constant coordination with technicians and subcontractors and summarizing the data for clients in a manageable and relevant format.
• Assists the Accounts Department by preparing a weekly list of services for invoicing.
• Prepares and maintains records of Delivery Notes providing copies for use in accounts and inventory.
• Provides outstanding quality service to clients by maintaining a 24 hour response time especially in emergency callouts as specified in the Key Performance Indicator (KPI), achieved by persistent updates from the responding team and providing feedback to the clients with qualitative and photographic reports.
• Prepares monthly schedules for 100 clients and 5 subcontractors coordinating availability, timings, permits and licenses.
• Prepares weekly schedule for a team of 7 full time technicians and 8 contractors across multiple services and product installations.
• Monitors constantly all on-going services and/or projects to track progress and to identify pending works.
• Assists Accounts Department in cost control through random checking of items in the warehouse and confirming results with existing inventory records.
• Provides assistance to the Project Leader in the preparation of documents (Installation Qualification, Operational Qualification and Performance Qualification) totaling to 20 document for a new project.
• Gathers information relevant to the qualification process of the new project through research and data gathering.
• Writes validations, manuals, and checklists related to the project documentation.
• Prepares, analyzes, interprets, and presents data to the project committee composed of the different Department directors.
• Maintains and safe-keeps complete and accessible indexed inventory of project related documents.
• Provides support to the Technical Services Manager with the established change monitoring system through regular commitment tracking through coordination with the concern person from every department.
• Updates the system after consolidating all data and inputs from the validating team to monitor changes and progress of projects.
• Provides administrative support to the Technical Services Division and the Division Director in terms of document routings, meeting schedules, and recording and monitoring of inspection audits.
• Prepares accurate sales related documents (Quotations, Delivery Notes, Sales Invoices, Export documents, Airway bills)
• Maintains and controls documents (Purchase Orders, Production drawings, Deliver Notes, Sales Invoice) as part of the Quality Management System practice and prepares them for Clients’ and/or Independent System Audits.
• Extends support to different departments as needed: the Import/Export department with the local and international deliveries; the Accounting and Sales department with regular sales report; the Production department with the releasing of drawings needed for production.
• Provides extensive assistance to clients with qualitative support services and delivery status, and to sales personnel in all incoming orders and sales reviews.
• Assists the Quality Assurance Supervisor in the implementation of processes and procedures to ensure that the quality standards are met.
• Performs routine tests on different parameters related to quality to ensure that all processes, equipment and personnel follows sanitation standards.
• Prepares reports and records relevant to the operation.
