Assisting the mangers in all aspects of HR by answering any employee e-mail queries

Following up completion of all employee files in time for payroll each month.
Co-ordinate with doctors and employees to ensure the medical is carried out on time.
Co-ordinate to maintenance of the building. Report all repairs/maintenance requirements and ensure it is carried out on time.
Maintain an up to date record of furniture available in the warehouse. Check the availability of furniture in the warehouse prior to ordering new items.
Co-ordinate to arrange hotel booking.
Order stationery and items for the pantry for the office.
Prepare stock orders for catering + vending items.
Book and co-ordinate meeting room bookings.
Greet and welcome international visitors and VIP guests with a smile and offer correct information and assistance.
. Answering reception incoming calls promptly / courteously in a professional way.
Receiving couriers and dispatching them accordingly.
To maintain cleanliness in the reception area and lobby at all times, in case of maintenance or any other service required, inform the relevant department accordingly.
Assisting the General Admin. Department for any required job/ follow ups as guided by the GA Manager.
To maintain appropriate standards of conduct, dress, hygiene, appearance and posture at all times. Always be polite, diplomatic and courteous with guests and customers.
Create and maintain spreadsheets, presentations and databases.
Greet and welcome visitors and VIP guests offering information and assistance. Answer incoming calls promptly, courteously and in a professional way. Coordinate with the Public Relations Assistants, arranging their daily schedule and preparing their monthly overtime sheet. Make necessary arrangements for VIP arrival at the venue. Familiarise names of regular visitors and greet them accordingly. Assist in organising transfers for visitors if required and re-confirm booking of conference room etc. Anticipate the need for taxis and follow up in order to avoid delays. Receive couriers and dispatch them accordingly. Maintain cleanliness in the reception area and lobby at all times, in case of maintenance or any other service required, inform the relevant department. Be aware of emergency telephone numbers. Assist visitors who require usage of the business center. Provide walk in guests with guidance and information of the company. Update the telephone directory and listing for head office staff. Support as point of contact for corporate staff and advertisers.
Coordinate meeting and conference schedules.
