• Responsible for maintaining all transactional business processes consistent with existing department processes and management center policies.
• Maintaining two busy and ever-changing calendars with constant communication and follow-up for work, philanthropic and private events (travel, medical, personal, auto, logistics and other family related appointments)
• Provides Assistance in terms of Administrative and Operational tasks to the CEO and Directors.
• Works to build shared staff resources team performance and capabilities to ensure timely and accurate processing of HR transactions.
• Assist in Visa Applications for DMCC, TECOM, DIFC and Labor Visas.
• Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
• Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
• Follow-ups with different departments, companies, persons on any pending documents as requested by the management including status thereof.
• Creating Purchase Orders (LPOs) and invoices.
• Maintains office staff by recruiting, selecting, orienting, and training employees.
• Scheduling internal and external business meetings/appointments as well as preparing presentations, meeting manuals, etc.
• Screening phone calls and responding to emails on behalf of the CEO
• Provide marketing/administrative support to marketing department to include:Office supply orders, catering requests, conference room management and other vendor requests as needed
• Handling special requests and related duties as needed including personal shopping, errands, etc.
• Updates School Web Portals and recruits students online.
• Provide assistance to all personnel, employees and provide assistance to all adults to choose appropriate career.
• Evaluates school faculty members and employees.
• Updates and conducts students personal information through room to room interviews.
• Participate in various guidance sessions with students and ensure growth of students and prepare vocational goals for all.
• Assist students with all emotional requirements and prepare various counseling and intervention strategies for all students.
• Analyze all student requirements and prepare formal lessons for all students and provide support to all academic activities.
• Maintain and analyze all student data and prepare programs and activities to provide support to all student plans.
• Attend career fairs for recruiting and college recognition.
• Give presentations at schools, attend student group meetings, and increase the school awareness about our college during career orientation seminars.
• Conducts initial interview to applicants and categorize potential applicants.
• Filing and update of employee records, files, number, insurance and salary.
• Assist applicants to their EAGLE test, IQ test, online tests (HP, typing and Long Versant Fluency) and employee based test.
• Plans, organizes, and coordinates recruitment activities; meets with individuals, departments and committees to define position and selection criteria
• Reviews recruitment paperwork for completeness and accuracy such as job announcements, interview questions, record sheets, etc. in coordination with the Human Resource Manager.
• Responds to applicants' inquiries both orally and in writing.
• Reviews employment files to verify minimum qualifications for position are met.
• Compiles, monitors and tracks all recruitment statistics.
• Calls the character reference of highly potential applicants for background check and interview.
• Administers Psychological tests to patients such as, Draw-A-Person, WAIS-R, Bender Gestalt and Sack-Sentence Completion.
• Interviews newly admitted and mild patients for background check and Personal Profile.
• Interprets Psychological tests answered by patients to be forwarded to the doctor or psychologist.
• Organize community or outreach services or programs for patients.
• Assess and observe patients through their behavior and actions.
• Counselling and Testing Activities
• Conducts exit interviews with leaving students, non-faculty and faculty employees and prepare analyses and reports determine areas of improvement on policies and relations;
• Conducts annual surveys on the programs and services of the Counselling and Testing Section and submit an evaluation report to the Guidance Counsellor and the Section Coordinator for analysis;
• Assist and guide student applicants through the application and enrolment process;
• Assist and guide faculty and non-faculty applicants through the assessment process;
• Perform I.Q., Personality, Pre-Employment and Employment tests to faculty and non-faculty applicants, and students;
