• Transportation: Responsible for overseeing and guidance of the Transport Dispatcher (Helpdesk) to ensure the safe and effective operations of the transportation fleet and monitoring of other adhoc transport client request, e.g., VIP, etc.
• Mailroom: Oversees the Mailroom Supervisor and assist in operations of mailroom which includes the delivery of mail to offices, housing compounds, courier services, pouch mail and reprographics. Ensures compliance to agreed service levels and client satisfaction.
• Reprographics and Copier Centre Supplies: oversees the Mailroom Supervisor to keep a tight inventory of all items purchased and used.
• Oversees the different TS work group to assign work tasks and ensure timely completion of work requests and will relay all discretionary requests (non- regular, above SLA) to the Tenant Services Supervisor.
• Visitor Coordination/ Reception: oversees the Visitor Coordinator/ Receptionists to ensure EM’s business travellers and AWT visitors processes are followed correctly and at all times.
• Housekeeping: oversee Housekeeping Supervisors and the janitorial team to ensure office and building premises (top to bottom, inclusive of all wall / ceiling structures, carpet/fabrics/ upholstery,

• furniture cleaning meets the acceptable EM standards and ensures consumables and recommended PPE are ordered and supplied in a timely manner.
• Pest Control: Ensures the Pest control schedule is properly communicated to all concerned, is adhered to and done effectively in all areas of the building and premises. Coordinates with the vendor for any emergency or ad hoc applications that may be required.
• Landscape: Ensures building environs and perimeter reflects the good reputation of the company and is up to EM standard. Ensure that surroundings are attractive, well-kept, and tidy and that seasonal plants are replaced in a timely manner.
• Goods Inward Room: oversee maintenance contractor ppm for x-rays, ensures a log is maintained of all items received & shipped.
• Front of House: ensures efficient operations and a good standard of staff, who are trained to EM standards.
• Ensure adequate back-up in key areas in case of sickness or vacation.
• Conducts daily / weekly/ monthly walk-arounds to monitor each work groups and reports areas of concern. Conducts random document audit check
• Responsibility for working with operating groups to ensure operating guidelines and other required documentations are prepared and updated periodically.
• Ensure that monthly targets for LPOs and Toolbox Assessment and other LPS targets are met and participate actively in all Toolbox meetings.
• Ensure that each individual and operating group in Soft Services meets its LPO targets.
• Ensure compliance all LPO submissions are reviewed and quality checked before submitting to SHE Group.
• Complete required monthly workplace inspections and submit to SHE Group.
• Ensure all information in relation to Operations integrity is identified and managed in line with OIMS expectations.
• Updates, maintains and communicates all Soft Services Guidelines to ensure they remain sustainable to meet changing business needs.
Ensure all MOC’s in Tenant Services are carried out as per OIMS requirements in a timely manner.
• Pestcontrol and waste management services and cleaning of Building Operations (eg: Facade and roof cleaning), in environment (eg: open space), etc.

Mailroom Supervisor at Mace Macro

• Monitors/review daily task in Mailroom, GIR and Reprographics Area. Conducts regular inspection / audit check of all mail points, delivery process, service accuracy /quality in both Onsite and Offsite facilities (done at least 3x a month) including the housing compounds mailrooms.
• Coordinates the timely recharge of the Mail Franking machine and Postage stamps with P-card holder dependent on the projected usage of local posting and registered mailing.
• First point of contact of clients for inquiries in relation to mail, courier or local post service, registered mail, copy paper distribution, newspaper delivery and reprographics services. Develop and maintain good customer service when interfacing with client by providing reliable, timely and effective service within the service levels defined by operation guidelines
• Ensures completion of mail and reprographics services within the Service Level described by client.
• Responsible for the coordination of equipment maintenance (PPM) with service providers such as lamination machines, scanners, binding machines, reprographic copiers / printers (twice a month), etc.
• Be an effective supervisor and team leader to ensure a good working relationship within the team as well as when interfacing with the other IFM groups. Avoids or effectively manages conflicts within the team/s and immediately reports any conflict that may impact performance.
• Conducts weekly check and review of accuracy of the spreadsheets / databases and hardcopy monitoring logs, Accountable Forms, GIR Delivery Pass, Monthly KPI’s and staff compliance with process recommendations/ audit checks found in the related Controls Catalogues and Calendar. Ensures shared LAN drive is kept tidy and complies with Records Management Guidelines for the Retention codes and file naming standard with no unnecessary or personal files saved.
• Ensures Mail and Reprographic procedures and guidelines are updated when required.
• Ensure that procedures, instructions and policies given by the management are clearly understood and implemented and monitored in the area of responsibility. Provides recommendations for process improvements and provides services analysis when required by client.
• Ensures all mail and reprographic staff will comply with EM standards as described in CIMS, OIMS and that all participate in LPS. Creates a monthly scheduling of the LPS observation to be done by each person in the work group to ensure monthly targets are met - for quality reviews, JLA Reviews/ revisions, and that actions/ gaps resulting from these should be closed in a timely manner.
• Conduct/Attends daily JLA Review Attend tool box meetings and other training events on the hazards and issues related to the job. Conduct spot check on each worker while performing LPSA on any given tasks.
• Ensures sick leave or vacation back fill is planned, job handover requirements are completed effectively and able to manage last minute, unplanned discretionary (additional) client requests with existing staff without any reduction in work quality, performance or service level. He should be able to manage peak activities and handle pressure from interfacing with clients to calmly but effectively resolve issues such as missed mails or delays. Also be able to interface and maintain a good working relationship with other mail services providers such as courier’s services and local post office.
