Department - Operations, Data Processing and Travel Details Assistant.
- Follow up on daily return to RSC cases.
- Contact All IQ Cases for Travel Details and update the case Notes after calling the applicants.
- Receive the checked signed PNs related to IZ, JO, and SIV MVNTs from the staff
- Prepare the Memorandum for departed MVNTs on daily bases and ship the Original signed PNs to IOM
LOANS each Thursday, make sure to have scanned copies of the PNs saved in the scanned promissory
notes folder.
- Provide all JO cases with their TD sheet and witness the PN signing for all the Applicants.
- Prepare and send the reimbursement sheets for Finance.
- Get the GBLs from RSC, check them and hand them to UNHCR 5 days prior the departure.
- The confirmation of this process should be in written.
- Prepare the travel packets for Departure.
- Receive Packets from RSC and send them to the other missions.
- update case Document Tab in MIMOSA.
- Import the X-MIF. -Contact All JO Cases for Travel Details, update the case Notes after calling the
applicants
- Act as Focal point for all IC emails.
- Provide IOM Iraq and Airport team with contact details each Tuesday.

DUTIES RESPONSIBILITIES:
Answer calls within prescribed time frame, respond to caller in a professional manner and according to established scripts and standards, and promptly route call to its destination.
Provide callers with local directions and general information in a courteous and accurate manner.
Act as central communications point during emergency/crisis situations. Follow emergency, safety and security procedures including calling local fire, police, poison control, etc. for assistance.
Take room service orders, guest requests and is the main point of contact in the hotel.
Generate the Audit pack for approvals and reconcile the F&B Outlets from prior day.
Respond to in-house guest concerns or complaints in a timely manner. Make appropriate service recovery gestures according to established guidelines.
Notify management of any malfunctioning telephone equipment or accessories.
May operate in-house paging system as well as serve as base communications with security and maintenance departments.
Promote team work and quality service through daily communications and coordination with other departments. Be aware and prepare for all in-house group meetings and VIP arrivals.
May provide wake-up calls to guests rooms if this is not an automated phone system function.
Perform other duties as assigned such as recording incoming packages, mail, or faxes and promptly notify guests.

Provide high level of secretarial service, e.g. typing & word processing service for guests.
Assist guest to make Long distance call & Fax handling.
Maintain adequate stocks of office supplies.
Provide information on the import and export business and trading to guests as requested.
Adopt a friendly, helpful and pleasant attitude to all guests.
Seek advice and guidance from the Business Center Supervisor, or Assistant Manager whenever encounters difficulties.
Keep up the cleanliness and workflow of the internal working area
