• Handling all the incoming/outgoing correspondence related to the General Manager.
• Preparing the daily agenda for the General Manager’s meetings.
• Taking the appointments with clients/banks and consultants as requested from the General Manager.
• Follow up and Fulfill any task the General Manager asked for.
• Preparing all the Arabic letters for CMW’s projects.
• Preparing the Sub-Contracts agreements and seeking the engineers comments/approvals.
• Preparing the required LPO to the determined supplier and follow up with the Plant in charge dispatching the same to the site.
• Complete follow up with the site engineers to arrange the staff and man power evaluation and assessments.
• Follow up with the company coordinator all the military gate pass.
• Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents, and maintain presentations, spreadsheets and databases.
• Receive, direct and relay telephone messages and fax messages.
• Direct the general public to the appropriate staff member.
• Maintain the general filing system and file all correspondence.
• Assist in the planning and preparation of meetings, conferences and conference telephone calls.
• Make preparations for Band Council and committee meetings.
• Maintain an adequate inventory of office supplies and ordering stationery and equipment supplies.
•arranging travel and accommodation.
• Provide word-processing and secretarial support.
• Type confidential documents on a word-processing system.
• Provide support to the Chief and First Nation Administrator
Main Activities.
• Assist the Chief and First Nation Administrator as requested.
• Provide administrative services for the Chief and First Nation Administrator.
• Perform other related duties as required.
• Respond to public inquiries.
• Daily entering of maintenance requests in System Maintenance Software.
• Daily updating of the status of maintenance requests.
• Entering of materials consuming for breakdown calls.
• Entering of A/C Preventive Maintenance Manpower and Materials Consuming.
• Preparing of monthly maintenance invoice.
