• Gathering information for implementing the new project. Collecting inputs from clients. Preparing Preliminary Design / Final Design / Tender Documents / Contract Documents
• Listing out the Documents and documenting the project details.
• Explaining the Project Plan to internal execution team.
• Tracking the pending documents through weekly progress reports.
• Notifying the involved party for tacking appropriate action on the pending documents.
• Manual follow up with the clients internal team to get an expected schedule for all pending documents.
• Undertake various functions related to document control, document archiving, document imaging and maintenance of document register for Construction Projects and/or Detail Engineering Projects. Role holder would be under minimum supervision of his superior.
• Receives and registers Client provided document for detail engineering or construction engineering project, including in-house generated document.
• Controls issuance of document numbers, including maintenance of proper document registers for detail engineering or construction engineering project.
• Ensures proper document classification, sorting, filing and proper archiving. • Reviews completeness of documentation and prepares document transmittals.
• Performs document quality check in accordance to Company engineering document control procedures.
• Performs file backup to ensure proper storage and archiving of electronic registers.
• Prepares engineering project reports, as may be required.
• Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
• Input document data into the standard registers ensuring that the information is accurate and up to date.
• Generate the various document control reports as required.
• Typing of site documents, and follow up of all the site needs
• Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable
• Maintain updated records of all approved documents and drawings and their distribution clearly
• Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
• Maintain the files and control logs as required by the project.
• Responsible for receiving, circulating and recording all incoming and outgoing faxes, emails and hand deliveries.
• Ensuring sequential numbering system in each and every outgoing correspondence.
• Ensuring quality formats being used adequately for correspondences, submittals, transmittals to clients, consultants, subcontractors and within divisions and departments.
• Ensuring all correspondences regarding financial matters is forwarded to the Resident Engineer/Project Manager.
• Ensuring all correspondences regarding contractual matters is forwarded to the Contract Manager.
• Ensure all correspondences reach proper department.
• Maintain documentation for projects under taken by Contracting Division making in use the project numbering system for easy traceability and proper filing (soft and hard copy).
• Bring up quality forms, checklists as and when needed in coordination with QA/QC Engineer for technical aspects.
• Coordinate with QA/QC Engineer for maintaining quality documentation so called, Document Register, Material Register & Drawing Register.
