- As a secretary/project assistant to the Offshore Team which includes the following clerical tasks: answer and screen phone calls and transfer them to specific persons, scanning, filing, printing, photocopying, CD copying, binding, send out fax messages, mailing of documents, etc.
- Attend to visitors/guests of the Offshore. Attend to meeting room (internal) bookings requests. Requests Capex/Non Capex items needed by the Team (e.g. Office supplies, business cards, mobile unit, laptop, etc.).
- Sending and receiving of packages/mails to and from to couriers (e.g. DHL, Aramex & FedEx.) and make it sure it is properly logged and received by intended recipients. Organize the hotel and flight booking by coordinating with company’s travel department for business trip.
- Organize transportation requirement of the offshore team.
- Prepare Ras Laffan gate pass applications (one-day, permanent/temporary for offshore team and some contractor working with Pearl GTL Pipeline team.
- Prepare Visa/Doha port passes make it sure all the Contractors/Shell staff assigned in Offshore processed on time.
- Book training course through “Shell On-line Training System” for the team and contractors working at Pearl GTL Project Pipelines in Ras-Laffan. Provide help for our Document Controller to download the documents in the “LiveLink System”, print and distribute to Ras Laffan Site office.
- Processing of invoice and e-approval. Supervise and monitor the work of the assigned Junior Office Assistant in our floor. Conduct weekly check up of the offices for cleanliness and orderliness. Ensure regular replenishment of office supplies and consumables.
- CRYSTAL/SAP Related work:
Responsible to process into the SAP TMS all the travel expenses using Department GCC cards by our contractors when they have their business trip and home leave rotation.
