• Providing administrative support to the Director, various Managers, Controllers and other employees.
• Contribute to team meetings.
• Schedule appointments and manage appointments, keeping all parties informed of dates, times and changes.
• Documenting minutes of meetings
• Manage information flow of all financial documents to Director and from Director to department sections and other Department.
• Manage and evaluate administrative requests from within the department and ensure all are within corporate guidelines.
• Manage own time to ensure effective and efficient utilization.
• Manage all correspondence in a prompt and professional manner.
• Prioritize tasks to ensure effective and efficient time utilization.
• Create and manage filing system to ensure all documents are filed appropriately and easily accessible.
• Build relationships with external and internal clients.
• Assist Line managers in resolution of internal department problems prior to raising them to Director.
• Prepare and follow up any internal requests (consumable or fixed asset) and monitor the delivery
• Coordinate progress on ongoing projects within the Department and keep Director informed.
• Arrange service and maintenance requests for any fixed asset under the Department.
• Maintain smooth functioning of Director’s office.
• Handling of confidential and sensitive issues, which require a high degree of discretion.
• Responsible to deal with customers to provide highest standards of customer service.
• Coordinator or focal point of contact between various Departments through correspondence, telephone and personal contact.
• Prepare official document, and work schedules.
• Maintain the highest standard of professional conduct at all times.
• Manage some financial aspects for the Director.
• Printing, typing, photocopying, faxing and distributing requested documents
