• Updating and maintaining the PRO database e.g. scanning of passports, labour contracts, labour cards and visa details;
• Scanning of all Education Certificates onto PRO Database
• Organise for passports and/or labour cards to be given to staff if required in PRO’s absence;
• Tracking of entry dates of new starters for visa purposes;
• Assisting employes and managers with day to day PRO queries;
• Ensuring all relevant documentation and information is forwarded to the PRO;
• Visiting various external departments e.g. Embassies, Traffic, Etisalat, Banks;
• Preparing and maintaining individual hardcopy HR records
• Ensuring Company compliance with labour laws
• Ad hoc duties as required by both PRO & HR
Liason with PRO & HR with regards to:
1. new starters - documents required to process employment &/or visit visas
2. leavers - documents required to cancel/transfer visas
3. weekly report to HR team on progress of visa status of new starters
Provide personal administrative support to the General Operations Director. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction.
A generalist 'all round' role which entails the following main duties:
• Undertake all necessary HR Administration.
• Recruitment management including the drafting of job descriptions and liaising with clients and candidates, sourcing resumes 1st level interviews for all positions.
• Preparation of employee offers and contracts of employment as required.
• Liaising with PRO for employee new visas, non-renewal and cancellation.
• Create new insurance card and open new bank account (Ratibi Card)
for WPS - Salary Transfer
• Manage attendance (sick, holiday, maternity) and overtime hours.
• Handling and coordinating flight bookings and other reservations as required
• Processing of End of Service Benefits in accordance to UAE law
• Responsible for issuing letters such as Employment Certificate, Experience Certificate, Employee Verification Certificate, No Objection letters for travel.
• Facilitate the entry of employees in the Payroll System (HRIS), preparation of cash voucher for the salaries of temporary employees; outsourced personnel are processed on time.
Create and submit Purchase Orders as well as monitor office supply inventory
Manage incoming invoices and bill payment, and track pending or outstanding payments
Organize, maintains confidentiality of work and review personnel records.
