• Assisting the day-to-day operations of the HR functions and duties.
• Knowledge in visa process, labour contracts application, typing applications (medical, EID, OHC)
• Managing access card applications under Free Zones Authorities (DIFC, AXS and ADGM) thru online portals.
• Managing and supervising PRO tasks and responsibilities and ensuring timely renewal of employee visa and labour contracts
• Providing adequate administrative support to the employees to facilitate achievement of strategic objectives
• Providing clerical and administrative support to Human Resources supervisors
• Supporting in the recruitment process and prepare monthly attendance & staf salaries
• Processing documentation and prepare reports relating to personnel activities
• Ensuring proper maintenance of staf files & all related documented including records of hiring, resignations, promotions, and increments.
• responsible for intercountry transfers (ICT), family sponsorship, and visa transfers (family company or company-family) and arranging labour and visa cancellation for the transfer formalities
• Processing visit visa application requests under company sponsorship via GDRFA government portal.
• Managing staf health insurance and other related concerns
• Facilitating accident claims (workmens compensation) & family claims and coordinates the same to the payroll department for reimbursement
• Drafting internal communication related to the ofice operations such as internal memos.
• Accommodating requests for Lost Passport, NOC letters to Embassies/Consulates, Driving License, Invitation letters for visa applications, etc.
• Compiling and updating employees relevant details in the ORACLE (WPS, passport, visa, health cards, insurance details, labour card, Emirates ID details, etc.)
• Managing employee relations processes such as leaves, End of Service & others.
• Responding to employee inquiries regarding HR policies, procedures, and programs.
• Coordinating employee benefits administration and assist with payroll processing.
• Initiating communication with candidates and schedule interviews.
• Conducting initial orientation to newly hired employees.
• Supporting HR projects and initiatives, such as performance management and employee engagement activities.
takes charge of arranging the necessary documents related to visa processing
assists the HR manager from recruitment, employment until resignation procedures
prepares offer letters or employment contracts and formal letters (termination, warning, run-away notification, etc.)
stores and retrieves significant data on computers.
does the significant business correspondence on behalf of the company
assists the HR manager in various trainings for the new hotel staff and in any company related activities such as staff party, team briefing, service week, employee group focus meeting, etc.
makes and records appointments and files correspondence and other relevant records
accompanies and assists the staff in their Visa-Medical, Occupational Health Card application/renewal, Emirates ID/finger prints application
assists the PRO in preparing the necessary documents required for Immigration and Labour application; follows up the pending applications concerning Immigration and Labour related transactions
updates the data base concerning the visa, labour, passport, occupational health card expiry, medical insurance status in the Paytrax system
prepares documents for visa and passport renewal
collects the applicants’ CVs handed over to the office through the security and checks the CVs sent through the MS Outlook or company website
prepares and checks the departmental monthly summary of attendance sheets and overtime
assists the accounts in preparing the monthly payroll
files sick leave, vacation leave, duty rejoining form, personal change status, starter form, joiners and leavers form, travel requests, employee list, inter-office memo, general memo, etc.
updates the daily cash reimbursement file
answers the calls related to HR queries and references
informs and follows up new applicants for interview schedule
effectively assists the HR manager in negotiating and communicating offers for the successful candidates
prepares the weekly, monthly recruitment status and activity reports
helps the HR manager in carrying out the employee counseling and job evaluation exercises and in handling issues pertaining to employees’ welfare and grievances and offer possible solutions
coordinates with all the Heads of Departments to address recruitment needs
takes charge of the accommodation of the living-in hotel staffs
arranges room assignments and conducts regular weekly visit to the accommodation
prepares action plan for the relevant accommodation issues and complaints
provides monthly inventory of the staff accommodation facilities
makes incident reports and files the same whenever various incidents happen
directly coordinates with the Accounts, Purchasing and Engineering departments in all accommodation related requests from purchase to hotel provided facility maintenance
arranges transportation booking specifically staff concerns
prepares documents for the staff accommodation’s renewal of contract
