Responsible for the overall SGD document control/management and EDMS (ACONEX) implementation from project execution to final handover to OWNER/OPERATIONS for successful plant start-up/operations and COMPANY projects records/retention management. An estimated 500, 000 documents/records/data captured centrally on single module environment and provide the information gate way to the project.

The scope includes, not limited to the following:

ACONEX EDMS Implementation/Administration/Training
• Develop/Implement the functional & requirement specification for Company EDMS set-up with in project budget.
• Governance & Risk assessment.
• Attend pre-qualification vendor presentations.
• Receive BID/TENDER from vendors, produce Technical BID evaluation report for tender board.
• Produce Commercial BID/TENDER evaluation report to tender board for EDMS award recommendation.
• Contract negotiation with EDMS vendor.
• Chair/Coordinate meetings with EDMS vendor and company IT.
• Implement EDMS set-up, roll out, go-live across project organization.
• 1st line user support.
• User administration and ACONEX license control.
• Develop, Implement ACONEX user instruction and EDMS requirement procedure/work instruction across (EPC/FEED contractor organization).
• ACONEX administration on project metadata/attribute set-up.
• ACONEX training for all project stakeholders (internal, EPC, PMC, TPI, FEED contractor organization).
• Mass document migration from company legacy systems.
• Smart Plant Foundation (SPF) (SPI, SPPID, SPE, SP3D) coordination.
• Set-up equipment Tag numbering relations to documents.

Technical/Vendor/Supplier Document Management/Final Handover
• Implement document control procedures, numbering, protocols, standardization across (20) Engineering Construction Procurement (EPC) scopes/packages (TECHNICAS, SAIPEM, SAMSUNG, CCCP, AL JABER) to ensure company requirements are adhered and complied.
• Develop final handover procedure and information management requirement specification.
• Define the road map of final handover documents from project to OPERATION system.
• Chair meetings with project leadership, project managers and contractor team members.
• Review of Document Deliverable register and send comments to Contractor.
• Ensure and constant monitoring EPC contractors upload documents into company EDMS (ACONEX) to support the progressive handover to OPERATION plant start-up.
• Ensure Company final handover documentation requirements are adhered and handover to operations acceptance.
• Validate As-Built documentation as per As built matrix.
• Validation/Quality completeness checking of final handover documentation.
• Compilations/Handover of Mechanical Completion dossier (MCD) by system/sub systems, Quality Control Dossiers (QCD), System/LOOP test Dossiers (LTD), Hydro Test Dossiers (HYD) and Commissioning completion Dossiers (COD).
• Chair/conduct EPC contractor/Operation final handover documentation meetings.
• Control of warranty notifications, site handover certificates, site inspection requests.(SIR).
• Control of Final Handover Documentation (FDH) to OWNER OPERATOR, ensure all documentations, accepted and sign off by OWNER for the Final Acceptance Certificate(FAC)
• Control of quality management system (NCR/CAR).
• Interface with ETIHAD RAIL of SHAH SULPHUR transportation project.
• Interface/coordination with FEED Engineer (AMEC Foster Wheeler, TECHNIP, FLUOR) organizations of submission of documents and compliance.

• Ensure the Information Management System (Documentum) & Process management system (MEGA) that support document and /record management are properly configured/managed to support I&O requirements by associated Business Processes, Risk Management & ES&SR (HSSE) .
• Main focal point for all issues related to the use of I&O Document Management processes and procedures.

• Dealing with any issues escalated from within the team, or the Change Programs, including finding a satisfactory resolution by business needs.
