Key Accountabilities/Responsibilities:Performs a wide range of secretarial and clerical duties and others administrative tasks as required.
- Prepares correspondence and other documents for the department.
- Maintains all files, records, logs, etc. which includes subjects files, software records, timesheets, leave record, etc.
- Prepare (PR) Purchase Request into the SAP system for various items required by the department.
- Maintain departmental files of incoming and outgoing mails and handle its distribution.
- Handles incoming and outgoing telephone calls, fixes appointments and prepares business trip schedules and itineraries.
- Ensures timely availability of required office supplies.
- Maintains records of PC’s and other office equipment.
- Prepares asset disposal application for obsolete items of the department for submission to asset disposal committee.
- Ensure timely completion of required paperwork, gate passes for visiting vendor/ contractor representatives and coordinates with security and government relations for their checking in.
- Ensure collection of stock items requested in SAP in warehouse.
- Maintains track and ensures timely action on various MOC’s reviewed by the department and keeping record of its movement.
- Complies and ensures timely completion of reports/ returns as and when required on various subjects related to the department for submission to higher management.
- Scheduled mail run to mail room for distribution of outgoing mail and collection and distribution of incoming mail.
- Assists and advises individual staff members of the department whenever they need a clarification on matters pertaining to the existing policies and procedures of the company after due consultation/ coordination with concerned departments.
- The department smooth functioning needs a high caliber/initiative requirement of administrative/ secretarial services all such requirements are met and followed through to completion with minimum supervision.
