HR Activities:
•Deploy, support, and promote Group HR policies (compensation & benefits, training, evaluation).
•Prepare and consolidate variable elements of payroll (bonuses, absences, leaves).
•Facilitate the integration of new recruits and provide them with the necessary work environment.
•Manage personnel administration (employment contracts and amendments, various legal documents).
•Ensure compliance with local legislation.
•Act as a liaison between the accounting firm and the HR department.
•Gather and track training requests in collaboration with the Training Center.
•Organize internal events and team-building activities to cultivate a positive work environment and strengthen team cohesion, while adhering to budget constraints.
•Ensure that internal communications of the group are disseminated within the site.
Recruitment Tasks:
•Scan and review CVs to identify potential candidates.
•Share job position requirements and needs with potential candidates.
•Conduct initial phone screens and interviews to assess candidate fit.
•Coordinate interview schedules between candidates and hiring managers.
•Maintain a database of candidate profiles and recruitment activities.
•Facilitate the onboarding of new hires, ensuring all necessary documentation and administrative tasks are completed.
•Manage the offboarding process for departing employees, ensuring a smooth transition.
Financial and Legal Activities:
•Provide quick and accurate responses to internal department inquiries (accounting, treasury, legal).
•Handle customer requests regarding legal matters and act as a liaison to the Group's legal department when needed.
•Interface with the Group's legal department and local law firm.
•Handle requests from local authorities.
•Process all payments to providers or institutions (taxes, contributions) in collaboration with the Group Treasury.
•Validate customer payments in internal tools.
•Manage customer reimbursements for the Group.
•Provide budget and forecast reports as required by different departments.
•Ensure proper execution and adherence to deadlines of financial reports.
•Facilitate team members' travel, including the use of internal tools, planning, booking, and reimbursement of expenses according to internal procedures.
•Compile monthly financial reports and liaise with the Group's accounting team.
Office Administration:
•Ensure the application, compliance, and updates of health and safety policies.
•Collaborate with Group Office teams to ensure office compliance with Group design policies.
•Contribute to potential searches for new premises, organize relocation, and ensure site activities continue during the process.
•Make necessary purchases to maintain proper site supplies (supplies, consumables).
Integration Objects
• Welcome newly recruited employees: administrative management, equipment management, welcome booklet
• Prepare employment contracts
• Handle missions and travel arrangements; book flights, cars, hotels, and restaurant reservations.
• Organize team-building events and activities.
• Monitor employees health insurance demands
• Manage employee absences, leaves, and departures
• Ensure internal and external information transmission (decisions, notes, etc.)Prepare payroll variables
• Ensure payment of all invoices in accordance with financial procedures and regulations
• Track office expenses.
Executive Management
• Organize business trips for the CEO (flights, hotel reservations, etc.)
• Manage electronic calendars and monitor deadlines
• Handle logistical and material organization of meetings
• Participate in meetings, take notes, draft minutes, meeting summaries, and distribute them. Sales Management:
• Sales team management
