Acts as the first point of contact in our office, greets visitors and telephone
callers and find out the nature of their inquiry.
Provide information to assist clients or refer them to appropriate contacts.
Carry out word processing, filing, mail-outs, bookkeeping and banking as
required and order stationery and office supplies and do other task of
administrative works.
Arrange bookings for annual leave of the employee,
Update 201 file of employee in the system (annual leave, passport and
visa expiration, date of joining and other related information)
As a Sales/Operation Support
Data entry and update clients’ information for all telephone and lead
inquiry to the system.
Open file and gather all documents needed for all the booked job and
send confirmation to the client.
Responsible for issuance of insurance certificate and insurance claim to
our broker.
Assist and co-ordinate shipments for outbound and inbound move.
Prepare and send a ball park quote in behalf of the sales person.
In-charge of sending out original documents to our destination agent thru
courier.
Assists and resolve customer issues and complains.
Other Duties (Account/
* Receiving, recording and distributing all incoming and outgoing faxes and
emails.
* Receiving and transferring incoming calls to the desired person in a
polite, lively and friendly manner.
* Taking in charge of ensuring that any documents which need to be sent
to other Companies Offices are sent on time.
* Ensuring that all files are maintained, organized and arranged properly for e
searching.
* Preparing accurate Time Sheet and Transport Sheet to all the staff.
* Receiving, distributing and sending items to the designated party.
* Encoding, updating and maintaining all incoming and outgoing documents
to the system.
* Assist and set - up meetings, makes travel arrangements, hotel
accommodation, and appointments for the managers & officers.
* Performs administrative and office support activities as may be assigned
by superior.
AS LOGISTICS COORDINATOR:
* Maintain correspondence with overseas offices and clients.
* Maintain interpersonal relationship with customers and colleagues.
* Prepare and transmit quotations to customers on both air and sea rates
for outbound and inbound shipment.
* Acquiring export/import rates for air & sea freight from
agents/counterparts overseas thru email/phone calls.
* In charge of making customer follow ups, updating and filing of the same.
* Coordinating shipments with the operations and updating shipment status
of the customer.
* Inquiring rates from agents needed for client’s inquiries.
* Responsible/entertain phone/email inquiries from prospect and existing
clients.
* Administer the communication systems including ensuring that the
telephones are answered promptly and effectively.
* Ensure all telephone numbers and fax numbers are correctly maintained
at all times.
* Schedule of day-to-day activities and meeting for the Manager.
* Focus on various documents and letter issued to clients.
* Responsible for encoding and updating system files, compile, organize
and arrange all company documents.
* Assist visitors & customers inquiries, performs administrative & office
support activities as may be assigned by superior.
Assists in the preparation of monthly reports.
Responsible in check and check voucher preparations.
Updates necessary account files
Follow up collections from tenants.
Prepares month-end reports such as aging of receivables,
outstanding payables and analysis of expenses.
Updates 201 files.
Monitors and summarizes time-keeping of all employees.
Distributes payroll.

and Responsibilities for the Food & Catering Services:
Responsible for accurate food costing, standardization of menu and selling price.
Coordinates with the Chef from time to time as to the stocks needed.
Checks completeness and accuracy of all reports submitted by the staff.
Checks spoilage report.
Implements cost control procedures.
Responsible in the inventory of equipments and kitchen utensils as well as
maintains record of breakages.
Performs marketing strategy like offering menu proposal for special occasion and
suggesting to customers in-house specialty for the day.
Performs kitchen test to improve further the menu.
Promotes suggestive selling among service crew.
