Duties and Responsibilities:
• Provide general administrative support to the Manager and staff team.
• Undertake general administrative duties that include filing, copying and faxing, collation and
distribution of minutes, reports and other documents.
• Performs other secretarial functions like setting appointments for the Project Manager, Screen
and answer phone calls, prepares invoices and other admin functions.
• Sets up and controls all testing and commissioning documentation in an orderly manner for easy
accessibility.
• Responsible for completeness of the documents to be submitted for final sign off.
• Responsible for Submittals & Logs.
• Responsible for monitoring of testing and commissioning documentation records (electronic files
and hard copy).
• Coordinates with the inspector regarding the updates of inspection documents.
• Access and print commissioning issues of the facilities from database.
• Coordinate all activities related to the Document Control procedure, including technical
documents, drawings and commercial correspondence.
• Input document data into the standard registers ensuring that the information is accurate and up
to date.
• Generate the various document control reports as required.
• Typing of site documents, and follow up of all the site needs.
• Makes sure that controlled copies of latest approved documents and drawings are given to the
appropriate staff
• Maintain updated records of all approved documents and drawings and their distribution clearly.
