Currently working within the Finance Department of Doha College. The responsibilities include the administration of the monthly payroll cycle. This includes the following:
• Planning and execution of the monthly payroll for all staff. This includes computation of payables for all timesheets received and the entries on the payroll software in use. All entries pertaining to reimbursements and deductions, unpaid leaves, and managing the whole payroll processing, including the uploading of files to the bank portal.
• Responding to all payroll-related queries and incorporating changes whenever required.
• Computing the final settlements of leavers and processing their payments.
• Prepare reports required for payroll processing and posting.
• Liaise with business partners of the payroll software in case of any issues related to the software.
• Run parallel payrolls in the event of a change in the software that is in use.
• Create and publish a payroll policy. Revise when necessary.
Working within the Human Resources Department of Doha College. The responsibilities include administration of payroll, exit formalities of leavers, generating employee contracts of sponsored staff, and maintaining the integrity of the data in the HRMS software (SAGE) details of which are listed below:
• Planning and execution of the monthly payroll for all staff.
• Computing the final settlements of leavers and processing their payments.
• Generating contracts of all sponsored staff through the online portal.
• Assisting in the general administration of policies and procedures. Responding to queries from employees seeking clarification pertaining to policies.
• Ensure integrity of the employee data entered on HRMS software (Sage).
• Advise staff seeking to avail maternity leave regarding their eligibility based on the school’s policy and compute the salary payable to them while on maternity leave.
• Assist staff through the last few months in the organization from the point of resignation.
Posting of adverts on company website and other platforms, short-listing of candidates using the online portal (TES/Hire Wire), obtaining references, organizing and conducting HR interviews.
•Dealing with recruitment agencies & sourcing through schools online portal.
•Shortlisting and screening of applications received through the portal.
•Coordinating with the interviewing panel members and the candidates to schedule interviews.
•Preparation of Offer Letters and Employment Contracts for all sponsored staff.
•Coordinating with candidates for the collection of initial documents required for the visa.
•Adding and updating of New Joiners and Leavers information in the HR system.
•Interfacing with the Security, IT, Front Office, Payroll and Accounts for New Joiners and Leavers.
•In brief working on overall employee cycle from Recruitment until Exit procedures of employees.
Administration and updating of the Recruitment Management files which will involve:
•Amending/changing candidate status
•Logging interviews and inputting interview assessment form.
•Downloading CV’s from the internal database, and forwarding to Line Managers for feedback, and then following up with Line Managers on feedback and arranging interviews or rejecting candidates as necessary
•Sourcing, screening & shortlisting of suitable candidates based on the needs. Assist in following up of references.
•Dealing with recruitment agencies & sourcing through online portals. Majorly focusing on own sourcing through personal contacts and other available mediums.
•Arranging interviews for line managers in Doha office / recruitment drive out of the country, ensuring all interviewers have the correct paperwork for the interview.
•Following up on interviews and preparing salary comparison sheet for successful candidates; coordinating with head office for issuance of the formal offer letter.
•Manage mobilisation/ coordinating with head office for visa process for new joiners.
•The orientation of new employees, explaining the general norms and introducing him/her to current employees.
•Prepare and update reports of interviews done and vacant positions.
•Assisting with ad hoc recruitment duties as required.
•Preparation of Master Timesheet for staff and labor (800+ employees)
•Effective handling and resolving issues related to payroll and coordinating with the head office when required.
•Assist in labor leave procedures.
•Other duties as requested from time to time.
•Leave-cover while another colleague/s is/are on vacation.

•Prepare monthly/weekly reports, minutes of the meetings, spreadsheets, input date into the database and develop PowerPoint presentations and graphs as required.
•Maintain and update departmental filling system.
•Prepare and send letters, memo’s and faxes, internally and externally.
•Ensure all data entered on the system PC is sorted in appropriate files and backup copies are maintained.

Recruitment Management:
• Organize interviews for technical and non-technical positions
• Ensure accuracy and completeness of hiring documents as indicated in the new employee checklist
• Assessed & developed a strategic recruitment plan for business units.
• Preparation of Job Descriptions and all relevant recruitment literature for job postings.
• Upload of job posting on internal/external company websites.
• Sourced right talents, designed compensation package based on Position, & Salary Structures.
• Conducting an initial screening interview by telephone
• Schedule and coordinate interviews
• Doing a background check for the candidates
• Assisting with the on-boarding of the International candidates
• Preparing job offer letters and contracts and negotiating salary as per the budget.
• Preparation of company Employment contracts
• Assisting in the orientation of new recruits
HR Management:
• Proactive and effective handling of day to day HR activities
• Provide accurate information pertaining to HR related policy and procedures
• Updating Annual Leave, Sick Leave, Monthly Salary, Annual Air Ticket etc
• Preparation of Salary Certificates and other letters
• Handling employee verification
• Initiating visa process (Entry as well as exit from the country)
• Typing new visa forms as well as visa cancellation forms, and coordinating with the employee for the exit.
• Liaising with a travel agent and organizing annual tickets for staff leaving on vacation
• Medical Insurance Administration
• Liaising with the insurance broker for approvals required for particular treatments or unsettled claims.
• Organizing monthly gatherings
• Administration of employee clearance procedures for all types of an employee exists.
• Issuance of relevant exit papers & process of Final Settlements as per policy.
Leave Management:
• Computation of leave entitlements and Monitoring leave balances
• Ensure effective implementation of the leave policy, review and revise when necessary
Payroll Coordination:
• Prepare payroll details in accordance with the attendance monitoring device.
• Review leave availed for the month, salary advances, tickets reimbursements and other deductions. Updating the finance department of increments
• Liaising with bank executives for account opening of new joiners and closure of those who have left the organization.
• Coordinating with medical insurance brokers for reimbursements
Immigration:
• Coordinated with the PRO for the collection and submission of documents required for the processing of visas.
• Directly liaise with the Media city immigration department for the cancellation of visas for leavers
Interviewing prospective candidates for a personality presentation and briefing on the contents of the course, coordinating with the administrators, senior counselors, and the training department for in-house activities, which includes campus interviews.
•Organizing outstation presentations which include the booking of the conference hall, setup of the place, organizing for things that need to be carried, hiring transport, etc
•Visiting educational institutes to gather data and promotional activities
•Liaising with all hotels for corporate rates for our Guest/Consultants for Seminars & Training Programs.
