Position description
Involved with the coordination and implementation of office procedures and frequently have responsibility for specific projects and tasks, Most tasks involves both written and oral communication, word processing and typing, and requires relevant skills such as IT, organizational and presentation skills, as well as the ability to multi-task and work well under pressure.
Provide full secretarial service.
1. Arranging meetings and appointments, attending meetings, taking minutes and keeping notes.
2. Arranging both in-house and external events.
1. Provide high-level administrative support to CFO/CEO and to the rest of the team within the department.
2. Ensuring coordination among operational divisions.
3. Performing clerical functions such as preparing correspondence, receiving visitors, arranging calls.
4. Copy typing, letter writing, dealing with telephone and email enquiries
Documents & Cheque control
5. Creating and maintaining filing systems, keeping diaries.
6. Handle all the cheques and bank transfers issued by Dubai refreshments, distribute and release accordingly.
7. Hand copy of the documents that are relapsed, organize them and file them in such a way that we can easily retrieve them whenever requested by Auditors or for any other purpose.
8. Handle document storage agent, coordinate storage issues and manage them.
9. Handle payments for suppliers and do the needful documentation.
