- Assisting EVP on day-to-day work requirements.
-Attending phone calls, appointments and inquiries.
- Drafting all official memos, and external letters (bilingually) Prepare presentations, reports, briefs etc.
-Screening all received documents for his review and / or approval
- Attending meetings, shorthand and draft minutes of meeting.
- Coordinating overseas official trips, i.e. hotel booking, flight, transport etc.
- Maintaining business agenda including meetings, events, conferences, etc.
- Dispatching documents internally and externally.
- Drafting regulations, and communicating circulars to subsidiaries departments Attendance control and leave schedules
-Meeting official guests, VIPs, and visitors and attending their requests.
-Arranging meetings and visits.
-Ordering required stationary and office supplies, using SAP System.
- Prepare circulation to all employees and division heads.
-Maintain contact details of business associates and partners.
-Coordinate all HR related tasks/assignments i.e. trainings, EPM, etc.
-Assisting in the marketing and sales of listed properties and projects.
-Responding to return calls/inquiries for sales Advertisement.
-Attending clients registrations processes at Dubai Land Department and major developers i.e. Nakheel, Emaar, Dubai properties Etc.
-Maintaining data base for a wide range of clientele, real estate agents and lancers.
-Coordinating overseas official trips, i.e. visas, hotel booking, flight, transport etc.
-Arranging required materials, roll ups, brochures etc. for participating in
exhibitions.
-Booking booths and stands for local and overseas exhibitions/shows.
-Assisting office manager in office arrangements.
-Provide IT support for Sales Director.
-Collecting information of all new developments and update sales prices.
-Circulate necessary updates of new rules and regulations to all sales team.
-Coordinating daily, and weekly properties advertisements
-Meeting and accompanying guests, VIPs, locally and abroad and attending their
requests.
-Maintain contact details of business associates and partners.
-Personal support on family related issues, school, visas, court cases, consulates
etc.
Drafting letters, memorandums, reports, e - mails, etc. for Director’s review. Preparing/Reviewing the Memorandum of Understandings.
-Coordinating with Asst. Director of Engineering for resolving non - technical
issues.
-Following up with other department heads on the tasks assigned by the director.
-Handle all the confidential presentation materials, Contracts, Letter of Intents
and Tender Documents.
-Ensures proper filing and record keeping by accurately entering information.
-Scheduling appointments, receiving visitors, screening calls and arranging
travels.
-Ordering required stationary and office supplies.
-Coordinating PR campaigns for new projects.
-Printing designs and layouts on different scale using Primavera software.
