• Using Construct ware Program for all kinds of documents Like (Submittals - CRFI - NCR - Correspondence - JSI )
• Responsible about the handling of the all Document kinds like in-coming and out-going CRFI, submittals (drawings & material submittals), letters, NCR, JSI, Method statement, IFC drawings, As built drawings and Transmittals.
• Coordinate all activities related to the document control procedure, including technical documents and correspondence.
• Input document data into standard registers ensuring the accuracy of the information.
• Document control reporting as required.
• Distribution of documents, ensuring that the controlled copies of approved documents are given to the appropriate person, section or department.
• Maintain updated records of all approved documents, drawings, etc.
• Maintain documents in the document control office under safe custody with easy traceability.
• Maintain and identify the drawing log various type of drawings, specification and other type of technical documentation in the project.
• Checking and updating the office filing system as per the Quality Management System in related to ISO 9001:2015.
• Updating incoming and outgoing correspondence log as per the QMS.
• Reviews register logs and files in connection with quality records.
• Identifies project numbers and maintain service identification log.
• Responsible for opening files for new projects.
• Achieves completed projects hard copies
• Responsible for disposing achieved records/documents by the end of the maintain period
• Coordinates with Managers and Heads for disposal of documents.
• Distribution of same, for drawings and documents being processed.
• Assist with entry of transmittal data and the follow-up and expediting of associated
• Storing, arranging, indexing and classifying records, permits contracts etc;
• Facilitating the development of filing systems, and maintaining these to meet administrative and legal requirements.
• Responsible in retrieving documents anytime as requested.
• Ensuring compliance with legislation and regulations;
• Resolving problems with information management by effective use of other management resources.
• Responsible for the registration of all incoming and outgoing documents, filling and archiving
• Responsible of receiving, distributing and controlling all contractual documents to assure that current and approved documents are available during construction
• Reports directly to HR Manager and/or Section Head.
• Maintains an orderly filing system and systematic retrieval of information.
• Reviews registers, logs and files in connection with quality records.
• Controls and registers all incoming and outgoing documents.
• Provides proper sequencing for all documents and implement documents archiving procedures for storing documents.
• Ensures that proper file codes are indicated on each document and sequencing documents are accounted.
• Receives and records all HR related documents and ensure its safe storage.
• Ensures that aspects of documentations are effectively controlled and categorized.
• Reproduces copies of documents as required.
• Develops and manages an electronic database for all documents in observance to the paperless policy of the company.
• Periodically audits all files for inclusions and missing documents.
• To perform other duties as assigned which are related to the scopes as mentioned above.
