Exportation and shipping activities:-
Assure applying Exportation Safety Regulations according to IATA and Novartis KSO.
Arrange details of shipments with the freight forwarders, carriers as necessary for exportation.
Assure no delay in payments reconciliation in export process.
Assure full accountability in reconcile the received invoices and shipping documents against the valid contract/s before issuing the necessary memos to avoid any HSE, GMP or compliance issues and save the company money.
Follow-up with Finance the issuing of checks in time and according to the contract/s to close the cycle.
Identifies and enhances accountability of Export Transactions and Products that are subject trade control by setting standard operations procedures (SOP’s) and update if necessary.
Assuring shipped consignment/s is shipped and reached the final destination according to set specifications to avoid any damages and deviation during the journey
Assure exporting all required material, samples or spare parts (repaired and return) to
the destination country in due time and in good condition
Full support to re-export the rejected materials, Products, or spare parts (Temporary
release) to the destination country in due time with zero tolerance deviation.
Assure that consignment/s is covered by data loggers.
Arrange with concerned teams whether with date of shipment and/ or date of
delivery to prepare for the exportation plan.
Follow-up with different parties (Supply chain, MOH, customs authority, freight
forwarders and carrier) to assure availability of goods and related documents in time.
Assure that all governmental approvals are granted before shipment due date.
Assure that exportation contract/s in place to avoid any business interruption.
Assure issuing of debit note/s for consignments that leaving the premises.
Issue freight forwarders and/ or carriers key performance indicators to monitor their
performance.
Focus to set good image of Novartis with the external parties like, MOH, customs
Authority, carrier and freight forwarders, etc. to achieve our targets and KPIs.
Present KPIs on monthly basis.
Sourcing and procurement activities :-
Undertakes all necessary to establish Novartis Trade Compliance Concept (NTCC).
Assure availability of Lab category supplies including chemicals reagents, reference
standard, consumables, equipment spare parts, Gases and calibration in due time to
avoid any delay in product availability by applying the purchase process (e.g. review
purchase requests and issue purchase with the communication with relevant
approved suppliers) and according to Novartis Guidelines i.e. applying bidding
process, issue insurance policies for items that will be imported.
Consider saving is one of the major elements of good purchase practice - Lab
category supplies.
Issue & secure approval of different purchase orders for all imported & local
laboratory materials.
Revision of order confirmations (price, currencies, quantities and delivery dates).
Negotiate price, payment terms & delivery plan.
Carry out communication with suppliers in case of any rejection due to Quality, and
follow-up the case till is solved / closed between supplier and Quality Control.
Follow-up issued purchase orders to assure delivery in due time.
Measure the supplier quality & delivery performance.
Issue and maintain required SOPs in areas of responsibilities.
Assure that all reports are submitted in time.
Insurance :-
Insurance claims of all defected packs and quantities of imported material within the
transportation journey:-
- Assure insurance processes are in place for third party purchase orders of Global
insurance mother company only.
- Follow up and completing all required & supportive Docs to finalize this issue
by providing a credit note and final investigation report to FR&A and SC
colleagues to close this issue on SAP system.
- Issue and maintain required SOPs in areas of responsibilities.
