JOB DESCRIPTION
ACCOUNTING FUNCTIONS
 Review, balance, and interpret computer reports and make corrections
 Investigate problems that vendors or purchasing agents have with obtaining payment for bills.
 Audit invoices against purchase orders, researches discrepancies, and get approval for payment.
 Verify and post details of business transactions, such as funds received and disbursed, and total accounts to ledgers or computer spreadsheets and databases
 Compute and record charges, refunds, cost of lost or damages goods, freight charges, rentals and similar items.
 Respond to tenant problems, concerns, and requests, and coordinate with the maintenance staff. Track tenant receivables and assist in the collection of delinquent accounts.
 Establish and maintain required tenant files, including lease files. Document any tenant adjustments and modification utilizing billing change notice. Track tenant insurance certificates and maintain up-to-date emergency contact information.
 Reconcile general ledger accounts with various registers
 Reconcile bank statements
 Reconcile report discrepancies and problems
 Extract general ledger information.
 Monitor loans and account payable and receivable to ensure that payments are up to date
 Cade data for input to financial data processing system according to company procedures
 Compile and sort documents, such as invoices and checks, substantiating business transactions
 Prepare vouchers, invoices, cheques, account statements, reports and other records and reviews for accuracy
 Review bad debts monthly and report to management
 Ensure internal checks regarding cash transactions are strictly observed
 Petty cash management
 Assist employees, vendors, clients or customers by answering questions related to accounts, procedures and services




IT RELATED FUNCTIONS

Network administration/systems maintenance
 Responsible for general local area network (LAN) administration. This involves ensuring that the LAN is running smoothly and efficiently.
 Purchase, install and maintain software, servers, workstations and peripheral hardware for all computers.
 Runs daily checks on health of the system and hardware. This includes administering data back-up system and restoring and required, as well as designing and administering virus protection program.
 Maintain exchange server e-mail system, including directory, file permissions and user accounts.
 Advise management team on software and hardware needs. This would be done through regular interface with outside consultants and service providers.
 Provide solutions to IT problems encountered by employees of all branches of the company. This includes dealing with user problems and ensures these are kept to minimum at all times. Also deals with emails/messaging from other users, and answer any queries on hardware, software, usage etc as efficiently as possible.

Database administration
 Maintain IT database on company server, payroll and leave
 Create custom reports to meet various departmental needs.
 Assist/train staff with procedures and report generation.
 Provide ongoing technical support to staff.
 Maintain in-house user’s manual and documentation.

Technical support(hardware and software)
 Provides computer and applications training for staff as needed
 Provides troubleshooting and problem solving services for staff concerning hardware and software
