Maintaining Tender & Contract Documents and the relevant Drawings
Registering outgoing / incoming printed documents.
Set up of Project Files both electronically and manually.
Maintenance & Archiving of Project Files.
Assist PD with report formatting / Admin Assistance.
General support to the Project Managers / Coordinators.
Handling the Tender Invitations and follow up with the related departments.
Updating the Record copy with the Commented SD & Tech. Submittable.
Updating the Register for Incoming & Outgoing Documents / Drawings.
Updating the soft copy of record drawings in the server.
Downloading & Printing the Drawings from FTP sites.
Preparation of the pending submittal list for Engineer’s urgent response.
Follow up with Engineer’s for the Urgent Submittals.
Issuing the approved Drawings to the Contractor for Construction.
Preparation of Monthly Progress Report for the Client
Conducting the weekly Document Control Meeting with Consultant & Contractor.
Attending the Monthly Document Control Team Meeting.
Producing weekly base KPI (Key Performance Indicator) Report for Project Director.
Co-coordinating the Subordinates and report to the immediate superior for the work flow.
Performance management and improvement tracking system.
Compensation and benefits administration and recordkeeping;
Assisting with the day-to-day efficient of the HR office.
Coordinates, negotiates and liaises with employment and advertising agents on service fee, advertisement recruitment and interview schedules.
Coordinates and liaises with external consultants on employees training needs and arranges training schedules for employees.
Organizes corporate events such as company’s dinner, corporate trip, etc…
May need to draft agreement/contract to overseas and local freelancers.
Involves in yearly manpower planning and expansion.
Handles monthly payroll and proposes year end salary increment report to MD.
Manages and appraises subordinates performance and their career advancement.
Reviews, updates and maintain proper filing of insurance policy.
Maintain routine correspondence and draft appropriate responses.
Assist the HR manager with research and other special projects.
Take an active role in creating a safe and healthy work environment.
