- Identify approved Suppliers
- Work Closely with Store to fulfill all their requirements an all divisions
- Process all the P.Os in Banner Finance System
- Identify and explore new sources of supplies
- Be aware of various customer requirements and provide support in identifying various options related to their purchasing request
- Maintain records and files relating to purchasing activities.
- Performs clerical functions incidental to purchasing activities
- Coordinate with suppliers for timely delivery
- Coordinate with University Messenger for local Purchases
- Coordinate with AUK Shipping forwarders in respect to imported goods / items.
- Coordinate with AUK Store for receiving the items, and provide help to them in liaising with Dept Heads for completion of documentations and release the payment with finance
- Working on all the P.O procedures from the inquiry to payment process (Inquiry, quotations, negotiations, comparisons, approvals, P.O, Delivery, GRN and payment)
- Perform all other activities as assigned by the Director of finance (reporting, saving charts and reports, negotiations)
- Coordinating with requestors on details or specifications on the items on the PR requested to ensure they meet the requirements.
- Responsible to ensure that non catalogue items have been previously purchased and at what price to compare with current prices and renegotiate the rates if applicable.
- Negotiating with vendors, supported by the Regional purchase Manager to get best possible prices for all products and services.
- Effectively managing the request on the procurement side and regularly maintaining and updating the status to the requestor.
- Produce price comparisons for all non-catalogue one off or newly requested items by searching the market for the best possible supply to match the specifications required by the requestor/customer.
- Assisting the Supply Chain team with following up with suppliers (local & import) regularly on pending deliveries, technical queries, NCR’s etc. to ensure the best possible relationship is made between Supreme and both the supplier and customer base.
- To assist the Project Manager with all aspects of product and service sourcing on construction projects, new project bids and assisting in maintaining a database of required information..
- Ensuring that all raised PRs and open requisitions are closed out and ensuring the Purchasing tracking sheet is kept updated at all times.
- Escalate to the Category Manager or Senior support Manager any issues that needs immediate attention or become problematic to the point where assistance is required from management.
- Maintain good communication and contact with all suppliers (local & import) and together with the Category Manager attends supplier meeting and at times site visits for local suppliers.
- Handling the following categories: QA and Laboratory, Furniture and Fixtures, PPE ( safety equipment ), Uniforms, IT & Stationeries, Gym and Recreational spare parts & raw material items
- Assist in defining procedures for accounts, payments etc.
