a) The responsibility for the recording of liabilities, expenditure and ultimately payments.
b) Checking the invoices with the purchase orders, the invoices & Documentation is referred to the purchasing agent who advises that invoice price should be accepted.
c) Checking that all the delivery notes and invoices for day are posted correctly by the receiving agent.
d) Daily taking Data backup from Material Control system to Sun (Back office system)
e) Ensuring that there is proof of delivery or satisfactory performance evidenced on each invoices processed and that prices quoted on the invoices are in agreement with those stated on the purchase order.
f) Checking the price, quantity and quality are as specified on the purchase order, so the invoice can be set up as a payment voucher and processed for payment.
g) Delivery notes received without invoices is filed in special file, alphabetically by supplier name, invoices are filed separately in an unpaid invoice file.
h) Making Timely statutory payments like (Electricity bills Telephone Bills, Management fees Etc.)
i) Maintaining Suppliers contracts, Maintenance contract and Service Contracts Separately.
j) Reconciliation of Supplier Balances, Sending Balance Confirmations Etc.
k) Preparation of Bank transfer, posting them as soon as it is received from the bank, So the same should not affect the Bank reconciliation.
l) Keeping the track of the cheques which is not collectd by suppliers & cancelling as it is getting expired, so the same should not affect the liability of the Hotel.
