Keeping record and updating Incoming & Outgoing PO/Document Log that comes to CEO office for approval from all departments.
Filing all documents, Agreements, and personal details of CEO appropriately.
Monitoring all incoming letters, acknowledgements, and approvals received from all banks, companies and within the organization.
Forwarding acknowledgements, approvals to concerned departments.
Providing back office support to CEO/President.
Monitor, purchase & follow up for all requirements needed in the CEO/Presidents office.
All administrative tasks for the CEO/President such as scheduling of meetings with local and international companies, arranging visit & business VISA.
Logistics among the employees communication area.
Providing full logistical support & arrangements of trips, flights reservations, hotel reservations all over the world.
If necessary helping in making Meeting Minutes and preparing power point presentations.
Supporting Chairman of the company in absence of his office manager.
Was handling all administrative tasks for the department such as scheduling of meetings with local and international companies, arranging visit & business VISA & logistics among the employees communication area.
Responsible to collect the company updated information & experience from all the departments to update the company profile.
In charge to submit the Pre-Qualification & Questioners (PQ) requested from the companies, vendors e.g. SWCC, Saudi Aramco, Marafiq and SEC etc.
Organize events wherever company participates and represent.
Prepare agendas, assemble data, distribute minutes of meetings, record action items and make arrangements for committee, board, and other meetings.
Set up and coordinate meetings, conferences and workshops.
Prepare documents for meetings and presentation, & drafting letters.
Keeps detailed records of own and others activities like filing, incoming and outgoing documents.
Making meeting presentations, attending meetings and making minutes of the meeting.
To acknowledge mails and follow up administration works.
To submit sales report coming from all the stores weekly
Maintain employee’s record and their vacation details.
Back office Support including time card checking within the team.
Handling correspondence with foreign companies and recruiting agents.
Asks for feedback from a range of people.
