DOCUMENT CONTROLLER DUTIES
Live working on ACONEX ORACLE software for Documentation
·Aconex provides a centralized platform for storing, sharing, And managing project-related documents, including Drawings, contracts, RFIs (Request for Information), Specifications, and other important project files. It ensures that All project members have access to the most current and Relevant documentation.
Maintain the Logs for Material Submittals (MTS), Shop Drawings, Inspection Test Plan (ITP), Checklists ITRs, Method Statements, and Material Inspection Report (MIR) and provide all Documents Ref. numbers, Checklist ref. numbers.
Preparing daily, weekly, and monthly reports of MTS, MST, ITP, MIR ITR, SI, OB, NCR, and shop Drawings.
Uploading the Documents in the Share Folder of the Project, maintaining the reply from the Consultant in Microsoft Excel.
Handle information requests.
Prepare statistical reports.
Coordinates office management activities.
Operate office equipment, such as photocopy machine and scanner.
PROJECT SECRETARY DUTIES
Provide administrative and clerical support to departments or individuals. Handle all Incoming and Outgoing memos & corresponding Letters and reports to determine their significance and plan their distribution.
Which are related to the Project and maintained electronically (Softcopies) as well as manually (Hardcopies)
Prepares minutes of meeting MOM for the Project's weekly Meetings. Prepares statistical reports and performs general secretarial duties.
Prepares Purchase Requisition (PR) and Purchase Orders (PO) in the ERP Software.
Coordinate with the head office for the Iqama Renewal, Insurance card Renewals, and General Issues of the Employees & laborers.
Schedules meetings arranges conference rooms prepares agenda Handle petty Cash for the purchase of materials which is related to office maintenance Site materials in emergency and stationery and pantry Items.
Schedule meetings and arrange conference rooms Prepare confidential and sensitive documents.
Working in a professional environment.
Alert the manager about cancelations or new meetings.
