JOB DESCRIPTIONS & DUTIES:

 Assisting sales team in preparing worksheet for internal costing, quotation, technical submittal and compliance statement for submission to consultants/clients' approval by creating formats in power point, Microsoft office & etc… on the various projects.
 Ensuring to the prepared technical submissions, compliance statement in respect to comply the client/consultant specification.
 Contacting to overseas/local suppliers/manufacturers in order to get information of stock availability/lead time of delivery/the best competitive offer for incoming projects all over.
 Confirming overseas sales/sample orders upon approval from the technical department to avoid any technical mistake.
 Preparing excel invoices, delivery notes, Proforma invoices, sales order form, sample order form, receipt voucher against cash or cheques to arrange collection from client, letters to the clients/consultants, arranging meetings with clients as required, invoicing in visual dolphin system in order to arrange delivery of materials to client upon confirmation of payment terms.
 Prior to take action on all incoming enquiries via fax and e-mail for quotation, reviewing on the specifications detail, Bill of Quantities and List of approved Manufactures (vendor list) for projects in coordination with sales team/sale manager, in case out of vendor list considering if the alternatives will be acceptable by client.
 Organizing professional Excel file for the incoming enquiries including the following information: project name, client, consultant, contractor, location, receiving date, due date, name of the sales who has received the enquiry, update the file repetitively on daily basis and keeping ready for the management.
 Sorting out those enquiries in Project-Filing-System easily accessible by management whenever needed.
 Keeping well sorted/indexed filing system for the incoming/outgoing and miscellaneous correspondences/faxes to organize categorized/individual List-Of-Contacts e.g. Consultants, Clients, Contractors, Interior Designers, landscape designers, etc. on regular basis using the information on the incoming enquiries, given by the manager and any other sources, and update on daily basis.
 Handling petty cash expenses for office work activities, depositing cash and cheques on company account by keeping update to the finance department.
 Supervising to all staff to perform duties under company guidelines, policies and procedures to educate one-self on the products and services.
