Reporting to the Human Resources Manager. Solely handling recruitment for the organization
under the designation of HR Executive. Also managing end to end HR operations from employee
onboarding to off-boarding.
• Sourcing CVs through recruitment agencies, job portals (Naukrigulf, Naukri, Bayt, Monster,
Gulf Talent) database, walk-ins and referrals
• Prepare and post job vacancy advertisements on job portals and other media sites (Dubizzle,
Khaleej Times, Gulf News, LinkedIn, Facebook etc).
• Interacting directly with the group companies General managers for their yearly staffing
requirements
• Formulating the job descriptions and specifications according to various positions to be hired
within the group
• Short - listing potential candidates based on the requirements
• Conducting the initial rounds of telephonic interviews and personal interviews if they are
found suitable
• Manage shortlisted candidates for each position and maintain a database of all the
requirements within the group
• Schedule interviews as per the time suitability of both the short-listed candidates and the
respective companies General managers, for selection and finalization
• Prepare and maintain feedback forms from the divisions and get their signature and approvals on the request for offers of employment
• Carry out reference checks for the selected candidates
• Process the employment offers to all finalized candidates across the group
• Maintain and regularly update the HR database of candidates which are to be brought onboard till they complete their joining process
• Collect all the documents required for the selected candidates visa process
• Create and Maintain each employee files in a standard format, containing all their documents from the time of selection to exit in softcopy and hardcopy
• Provide information about the entire visa process to prospective employees
• Coordinate with the PR department for MOL visas on a regular basis to keep track on the prospective employees visa status
• For TECOM visas, solely handling the application process on the TECOM website - AXS
• Relate the same to the division heads and coordinators
• Upon receiving the visas from the PR or from TECOM website, the same will be forwarded to the respective prospective employees
• Coordinate their travel, by arranging tickets from their destination of departure to arrival and arranging for their hotel stay if required
• Generate PTAs from the HRMS and send to the travel agent and maintain the same
• At the time of joining, conducting an induction for all the new employees by arranging the employees medical process, educating them on the process of obtaining their emirates id and where to proceed for their medical
• Provide the employees with the medical insurance enrolment forms to be completed by them
• Arrange for the joining forms to be signed by the division heads to confirm on each new employees joining date, which will then be updated in the HRMS system, to generate an employee code
• Maintaining the leave records in HRMS and calculating leave balances as and when required
• Assisting in the payroll process ( leaves, checking attendances of over 800 employees, updating the job based deductions on HRMS on a monthly basis)
• Providing day to day support to more than 800 employees within the group which includes preparing salary certificates, No objection letters, salary transfer letters, promotion letters, disciplinary actions etc.
• Handling employee grievances on a daily basis and conducting monthly HR forums
• Handling daily calls from employees, prospective candidates/employees, recruitment agencies etc
• Coordinate with the IT department to follow up on requests from new employees such as creation of emails, finger print attendances etc
• Handling the exit formalities (exit interviews, cancellation of visas) of employees leaving the organization
