On-boarding and separations contract management

New hired
• Manage staff terms, benefits and conditions of employment to ensure compliance with policy and contracts
• Receives the candidate acceptance on ICARDA’s offer.
• Prepare employment offers for International Recruited Staff and National Recruited Staff and Special Cases (long terms and special consultancy contracts)
• Staff on-boarding arrangements such as travel, visa, residency, notifying all concerned (HR, Finance, IT, PSD, Association of International Agricultural Research Centers (AIARC), Insurance company, orientation …etc…)
• Ensure all new employees receive induction training on day one.
• Ensure that new hire introductions are updated on the intranet;


Separated staff
• The processes starts from preparing the letter the separation letters (for all levels),
• Collect the signed letter, Medical check-up (for IRS), the completed staff exit checklist and the Exit interview form.
• Notifying all concerned, (HR, Finance, AIARC, Insurance Company, follow-up on the staff exits checklist…etc…)

Others
• Serve as coordinator with AIARC and the insurance companies
• Manage Disciplinary issues and grievances; maintain documentation and report
• Highlight areas for improving policy and process
• Respond to staff’s queries on HR matters in a timely and courteous manner.
• Prepare Certification of work for staff and Embassy letter and sign them on behalf of HR Director.
• Updated the holidays on the system for all locations and make sure the holiday is consisted with the timesheet.
• Provide high quality service to internal customers (Staff members and management).
• Maintain and update employee records, policies, procedures, and other issues and be responsible for employee files.
• Provide Benefits Questionnaire for US taxpayer and send it to AIARC.

Recruitment

• Provide first level support to hiring managers; proof-read vacancy announcements; research and recommend sourcing options;
• Develop a comprehensive annual staffing plan and manage the recruitment process this includes visibility of Vacancies on the web, social media, etc..
• Disseminate vacancy announcements; monitor number and quality of incoming applications;
• Conduct a first screening of applications and share with selection panel for shortlisting;
• Coordinate the logistics for arranging selection tests and interviews;
• Participate in selection interviews as HR representative as may be required;
• Maintain accurate data and produce statistical reports on recruitment activities and outcomes.
HR Administration
• Assist the HR Director in developing a selection and use of Consultants guidelines;
• Established a consultancy database indicating the consultants discipline, skill sets and experience for ready reference by requestors;
• Oversee the employment/consultants contracting and renewal process across all locations ensuring compliance to established policies and procedures;
• Support process automation and continuous improvement efforts;
• Handle the insurance issues for consultants and address any complaints.
• Maintain accurate records on all types of leave, monitor leave entitlements and produce statistics as required;
• Manage HR Help Desk/ E-services.
• Ensure all the employees have valid and up-to-date contracts in their files at all times (Extension contracts).
• Manage employee probationary period timescales ensuring the necessary paperwork is generated and no employee goes over there probationary period without their employment being confirmed as permanent, terminated or the probationary period extended for a further period.
• Administrative support and coordination for the HR Director, including scheduling of meetings and travels.
Training
• To ensure training courses are run according the company training plans.
• To ensure all employees are trained on the company IT systems.
• Create and maintain a database for training and insert the details into the respective succession plan(s).
• Manage the employee referral scheme (recommendation for employment by two supervisors).
• To receive the feedback and results from the supervisor and training company.
• To ensure that all training is recorded.

My duties were:
•Conduct vulnerability assessment for refugees, and sport home visits.
•Focal point for psychological support cases.

•With collaboration with Protection Unit Assess the protection situation, identify concerns and needs as they arise, either in the individual case or at the community level, including through home visits and participatory assessments;
•Monitor the situation of displaced persons, identify issues that require particular attention, especially those related to persons with specific needs and propose interventions in the individual case;
•Pay special attention to issues pertaining to sexual and gender based violence (SGBV), unaccompanied and separated children (UAC/SC), older persons, single parents, persons with disabilities, children-at-risk etc and refer it to the concerned focal point.
•Participate in any relevant community services activities aimed at supporting local and refugee community structures which provide services to refugees and other persons of concern to UNHCR. Coordinate with other agencies in these areas along the set objectives and priorities.
•Participate in advocacy efforts, i.e. in preparations for World Refugee Day, World AIDS Day, Marathon, etc.
