Assisting the document control manager to establish and maintain a proper
document filing system (FTP Sharing system - Laserfiche System and database)
and setting up all projects filling systems.
* Handling all incoming and outgoing documents, Drawings, Transmittals and
submittals and Ensure that they are correctly reviewed and logged on FTP Sharing
system and Laserfiche System, and redirected to the right person / department.
* Sorting and classifying the documents according to guidelines, such as: Content,
purpose, user criteria or chronological, alphabetical or numerical order Design
forms related to filing systems.
* Ensure timely transfer of electronic documents and hard copy documentation
to/from project sites, consultants and contractors. Ensure the documents are
maintained under safe custody, without any damage or deterioration with easy
traceability.
* Assisting in other administrative duties such as (typing, copying, data entry
scanning and writing emails).
* Invoicing on excel sheets then uploading on oracle ERP, Coding and numbering
new items to contracts.
Reporting, organizes, evaluates, and maintains information directly to the CFO.
Supervising, Provide guidance and support to administration staff to perform
their duties effectively.
Responsible for overall administrative functions of Client Receivable & Relations
department such as (reservations forms and contract procedures).
Following up with the Sales operations department for the client's inquires Such
as (adjustment payments, client's needs and units modifications with engineering
department).
Supervising Documentation department to ensure the highest degree of accuracy
is maintained for the original documents, hard and softcopy.
Monitoring all incoming/outgoing Letters, Emails among HQ, Constructions
projects and Governmental organizations.
Following up the procedures of Original Documents with other agencies and
Governmental organizations.
